When you hire equipment it’s hard to know what exactly you are paying for. But each product has been priced according to certain parameters which determine the cost for hiring it for periods of time. In this blog post, we’re going to break down the different factors that make up a hire cost to give a clearer understanding of why prices are what they are.

Depreciation

Before you can hire out equipment you have to buy it. This may seem like a logical thing to say but it’s important to look at the cost of the equipment at purchase point and then either the resale value or how the longevity of it before you need to replace it. The different between these is call depreciation, a little like a car. The more you use it, the less value it has. For every job a piece of equipment does, a value of depreciation is attached, which is the base line for the hire cost.

Staffing

The next thing to factor in is staffing costs. Each piece of equipment will need setting up which will require crew members. If it’s dry hire, the price will be lower because there will be no crew cost. If you want it installed, then this will add extra to the booking depending on how many crew members are required to work and for how long.

Storage and Utilities

What you don’t see when you hire a piece of equipment, is what happens behind the scenes. Everything will need to be stored somewhere and depending on the size of the equipment, the space required may be quite large. For example, trailer stages required substantially more space to store than other types of stages, PA systems will need more space than lighting systems. These storage spaces either need to be rented or purchased and that cost is added into the price of the hire, this also includes any utilities like electricity.

Competitors

Any good business will do their research when it comes to competitor pricing. Looking at what other companies are offering and comparing similar products helps determine the price of hiring equipment. It’s not the only factor, otherwise this would drive up the prices to unrealistic levels, but it’s a good benchmark to see if the price we have achieve from the above is similar to what other people are charging.

Profit

This is something every company will look at too. You can’t improve a business without reinvesting in it, therefore profit is necessary to keep the business going. It also helps businesses improve their services and to keep up with the times, particularly in industries impacted by technology.

This is a very broad insight into how equipment pricing is calculated, and how as a company we continue to be able to offer our customers the best services and the best prices possible.

Planning an Event Site with Power in Mind

We’ve already discussed the importance of power management and how to manage the power at your events. What we haven’t looked at is how power management affects your site layout and how to go about making your layout as easy as possible for your traders and yourself (or electricians).

Event Site layout is important for a couple of reasons:

- It will help with set up and save you time in getting your stall holders and contractors efficiently to their allocated space.

- It will enhance the guest experience, knowing where all the different activities are, either grouped together or near each other.

- It will make sure that your site is used to its maximum capacity, and you aren’t wasting any space.

A crucial part of event site layout is the distribution of power. If you haven’t done this properly, you might end up with overloaded power points, cables trailed through your event site and traders with regular power cuts.

This guide will give you a step by step on how to plan your event site with power management in mind.

The Floor Plan

This will be the basis of your event site layout. You can grab a screen shot from google maps or you can design your own. Ideally it would be to scale to ensure proper space has been allocated to each element without guessing. Turning up on build day to find nothing quite fits how you imagined is not the start to the event that you want.

If it’s indoors, make sure this includes doors and windows, escape routes and any other obstacles.

You can design your own using various programmes or you can get some online systems that will help you to make the job easier. The tools you use will depend on your budget and the size of your event.

Facilities

Include any water points and power points. This will be crucial to ensuring your event site is laid out properly and can accommodate everything that you need. Knowing what power you have available, be that from a permanent source or from a generator, will help you to know where everything needs to go. Bear in mind that power is best to be section off from the general public too.

Power requirements

On a separate sheet list all your attractions and traders and include power requirements. The more detailed the better. Then when a trader shows up with extra plugs or things to plug in you have a record of what was requested.

Building the plan

It’s now time to build the plan. Start with your largest attractions, things that take up the most space. If it requires power, like the stage for example, make sure that it’s near a stable power source. Once they are in place, add in all your traders that require power, making sure they are badged to a power source that can cope with their demand. After that, fill the holes with other traders, facilities and amenities.

Event ready

You’re now event ready. Enjoy your hard work when the set-up is smooth, the power doesn’t trip, and your guests have a great time.

A Peek Behind the Scenes Before the Event Day

It’s easy to think that our work only takes place once we are on the event site, but the truth is, a lot of planning and preparation goes into each event before we get anywhere near the site itself.

Our team works seamlessly together to ensure that each event runs to plan and that requires communication between the sales team and the crew that will be working that event, as well as some detailed organisation inside the warehouse.

Once the event has been booked and confirmed, our crew take over the job from the sales team. Ideally, they start their preparation a few days before the event but that’s not always possible, especially if they have back to back events to attend, that require the same equipment.

Attention to detail and organisation are key skills that our team are required to have, to make sure they have everything they need to carry out the job to the standard we are used to providing and to the expectations of the client.

We have a couple of key things that help us achieve this. The first is the knowledge and experience of our crew. They have been doing this for a long time and know what kit they will need and always come prepared with spares in case anything fails. Based off of the type of event, number of bands, performers, audience sizes, they will be able to judge what they will need.

Secondly, we have a equipment rental software that helps us keep track of what is in the warehouse and what is out on a job. This means the team can check things out of the warehouse and keeps everyone up to date on what is available and what isn’t, including the sales team that are continuously quoting and booking jobs in.

Once the team have assessed what equipment they need, it’s time to load it into the vans. The type of van will depend on which stage is going out, and whether the trailer is needed. Check out our video to get an idea of what loading up looks like.

Exploring the importance of events

Over the last few years, we have seen the decline in community events across the home counties. With funding issues, the weather not playing ball and lack of attendance, it’s impacted the face of community events like we know it.

It’s easy to forget why we were hosting them in the first place and all the benefits that they bring to the community and to the people.

In a post on LimePack, Unveiling the Impact: Why are Events Important for Community and Growth? Anttoni Taimela writes: “Simply put, they knit the fabric of society tighter through shared experiences and empower businesses through strategic connections.”

If we focus on the first part of that statement, we can truly see the importance of community events.

The Power of Connection

Events create a space for communities to come together, whether that’s a town, a group of people who share the same characteristics or who enjoy the same things. It gives them an opportunity to create shared experiences, that they can later rely on if needed.

That same space provides a sense of community to the event goers, they feel part of a bigger machine and they connect with people who share that same community. It’s about belonging, and finding a space in a fast moving world where they can stop and look around to see people just like them.

The Power of Memories

Rebeca Hyde wrote that “Memories play a vital role in our lives by connecting us to our past and shaping our identities.”

These community events give their event goers an opportunity to create memories, with family, friends or people who belong to their community. And by creating those memories, it helps them connect with who they are, and it shapes their identity moving forwards. If you think of what you would like your community to connect on, is it the issues they face as a community or would you rather they have a space to share joy and happiness. These memories turn into social currency, that they can later on talk about, reminisce about with the people they shared or connected with over it. This connect is invaluable to a community and its longevity.

The Power of Music

Adding music into your community event, as most people do, is a powerful tool to enhance your event. Liz Connor wrote : ‘Listening to music triggers the release of three powerful chemicals: dopamine, serotonin and oxytocin. These hormones give us a rush of pleasure, support reward and motivation and help us to feel connected to others.’

There are great benefits to having live music at your events, and if all the above isn’t enough to convince you that community events are worth investing in, these powerful hormones can impact improve moods and lower anxiety, something a lot of the population suffer with in modern society.

Prioritising the community should be at the centre of why events should continue to take place, and councils, bids and other organisations should continue to invest in community events, because the benefits are tangible if not seen with the naked eye.

A fast build large festival stage,

the perfect centrepiece for any outdoor event

In this blog post we’re covering everything you need to know about our 8m x 6m Trailer Stage

This impressive and solid structure is the perfect event centrepiece for a low cost. It has a quick set up time of around two hours which is ideal if there are time constraints in place. With its fast build time and impressive presence this festival stage gives ample room for even the most demanding bands.

Adding PA towers can enhance the already large stage area.

The stage deck stands at about 1m - 1.3m high with the overall height of the canopy standing at just over 5m from the ground. The stage comes pre-rigged with a simple lighting set up of 24 x RGBW Parcans with options to add any number of moving lights from our stock.

It comes with a weatherproof PVC canopy, black PVC or Scrim side panels, black wrap around skirt, and two sets of stairs. As with all our stages we can also provide full production, PA and Lighting, backline hire and power management and hire.

In this blog post we’re exploring how prop hire can enhance your event and elevate your stage hire and production by making it visually pleasing to the audience.

When you think of Christmas, you are likely picturing a scene that is red, green and gold, sparkling lights, and maybe even snow. When planning your event you want to be bringing those things to your stage area and the rest of your event to really capture the essence of Christmas.

We’ve written a previous post on How to Customise Your Stage we brought you ideas on how to decorate your stage to really bring it the extra pizazz to your event.

In this post, we’re going to share ideas on how to use prop hire to make your stage area pop and bring the true spirit of Christmas to your event.

Stage hire

First up, you will need to decide on which stage works best for your event (for help on this please check out our Guide to Outdoor Staging or How to Pick the Right Stage for Your Event ). This is your canvas, a blank space for you to decorate and change so that it fits your vision.

Depending on the stage you settle for, your options for decorating will be different. If you have a large stage, for example, and you don’t need the whole space, you will have more floor to add props and decorations to. If you opt for a smaller one, you might want to consider keeping some space around the stage for props.

With our trailer stages, you can also add things to the trusses (the ceiling) whereas this won’t be an option for our modular stage with canopy (unless it’s balloons and doesn’t weigh anything). If you choose our trailer stage with PA wings, this will give you additional space for banners or props as well.

Have a think about your theme within Christmas because there are so many options. You could go with a polar theme or a more traditional theme, the possibilities are endless, but this will help you narrow down what props to gravitate towards. Rather than ending up with a buffet style palette where you have a little bit of everything.

We attended a Fire & Ice themed Christmas event, where the organisers had iceberg props on stage with firebreathers performing.

This really simple stage design by Church Stage Design Ideas , is both simple but very effective. With some coloured lights they were able to change the stage to suit the mood. These modern and simple trees are very effective.

Or you could go all out with fake snow, candy canes, Christmas trees, presents and wreaths, turn your stage into a veritable winter wonderland.

Planning a community family fun day involves organising activities that cater to all age groups and interests, ensuring everyone has a good time. We’ve put together a step-by-step guide to help you plan a successful family fun day, from start to finish, with something for everyone.

1. Set a Date and Time

Set a date that works for everyone, whilst remembering the weather if hosting it outdoors. Make sure more of your volunteers/helpers can be around for the day. You will also need to decide on the duration of the event, how long will it run for? Don’t forget to give yourself time to set up and break down afterwards.

2. Determine the Budget

Setting a budget is arguably one of the hardest but most important part of the event. If you need tips, you can check out our post on How to Budget for an Outdoor Event. Allocate funds for activities, food, and any other expenses.

3. Choose a Venue

Summer is the first season that springs to mind when you think about outdoor events, so if you have a great open-air venue or want to organise a fun day for your community, here are some ideas of events you could run.

Family fun day with inflatables

Hosting a Family Fun Day with inflatables is a fantastic way to bring families together for a day of excitement, laughter, and memorable experiences. Why not create a separate area with smaller, safer inflatables for young children and include more challenging inflatables like obstacle courses or mechanical rides for older kids and teenagers. You can set up classic carnival games like ring toss, duck pond, and bean bag toss and organize sack races, three-legged races, and tug-of-war for some friendly competition. Don’t forget your live entertainment. Hire local entertainers such as magicians, clowns, or musicians to perform throughout the day and have face painting booths and balloon artists to add more fun.

Open air cinemas/theatres

There is nothing more fun than watching your favourite film under the stars with your friends. Open air cinemas and theatres are a great crowd pleaser. Why not arrange for food trucks or stalls offering a variety of snacks and meals, such as hot dogs, popcorn, cotton candy, and ice cream or encourage your guests to bring a picnic whilst they relax and enjoy the show.

Music festival

A classic in British culture, music festivals don’t have to be as big as Glastonbury to be an attraction or popular. You can hire a small stage and get local bands to play on the village green, or if you have the budget and feel up for the challenge, you can have the full festival experience.

Street Fair

Everyone loves food. You could organise a street fair, with food stalls, a small live music stage and a bar. Add in some classic cars and bikes and you’ve got yourself a low effort, fun event for the community to enjoy. Want to make it a bit bigger? Grow your offering of food and have a larger stage to host tribute acts and let the music run all day long.

Talent show

A classic in the school years, but why not organise a community wide talent show and revel in the delights of other people’s talents. You never know what your neighbour, friend or baker can do.

Autumn

Pumpkin festival

It’s a classic in autumn, but with “fall” becoming more and more popular, lean into the seasonal activities and bring the people what they want. A pumpkin festival is a great way to involve the local community, have some family fun and feel the cozy vibes of autumn.

Scarecrow festival

Another classic and very popular with families and young children alike, but also with the wider community. Organise it throughout town for the month or have a one-day extravaganza with apple bobbing, cider making, wreath workshops etc to make it a whole day of autumn fun.

Oktoberfest

The association between autumn and Oktoberfest is a good one and one to be capitalised on. Embrace the German tradition and have your own beer and music filled evening.

Harvest Festival

In line with the scarecrow festival and pumpkin festival, this is a great autumn idea that will have your guests wondering when your next event is. Join forces with the food bank, the church and other community groups to celebrate harvest and all things food.

Halloween festival

With the day of the dead celebrations and Halloween there is plenty to keep you inspired during for the event of October events. Lean into traditions or bring a fresh new approach to entice your guests into the frightfully good time.

Winter

Winter wonderland

Think Hyde Park, but on a smaller scale. Everyone loves a festive event, and winter wonderlands are as popular as ever with people choosing to spend their money on experiences. Get a funfair in, some craft stalls, maybe even a ice rink and you have festive fun at your fingertips.

Light trail/show

These are increasingly popular and a great use of it getting dark earlier on. Whether you organise a trail through a town centre, or round a manor house, you’re guaranteed to pull in the crowds to delight in festive fun. Sell some mulled wine and hot chocolate to bring in some extra cash too.

Christmas market

Who else leaves their shopping to the last minute? Christmas markets are a great way to get that last minute gift for the awkward person in the family. Organise a Christmas market, either a one off or throughout November and December. Add in a small stage, some festive music or choirs and you have yourself a great event that is a guaranteed crowd pleaser.

Carol Concert

These don’t have to take place in a church, carol concerts can be great around the town Christmas tree, in the local park or at a larger venue. You can get performers of traditional carols or modern takes on them. Your audience will be delighted to participate.

Santa’s grotto

As a standalone event or as part of a bigger event, Santa’s grottos are as popular as ever with families. Get a catering in, some kids craft activities and watch the crowds pour in.

Spring

Easter celebration

Lean into the religious celebration and organise a fun filled easter celebration, with bunny trails, egg hunts, appearance by the bunny itself. The weather can be unpredictable in Spring but the opportunity is there to organise a great event to continue your all year round programme.

Garden party

Another lovely idea for a community event, a garden party. With traditional games, croquet, picnic tables and food stalls, invite your community to join in the fun. Add a face painter or balloon artist for the kids and you have a lovely spring event.

Charity concert

Charity concerts bring people out in droves and gives the opportunity to bring the community together for a good cause. You can pick a local charity or one close to your heart, then choose your stage and performers for a lovely daytime event.

Spring Craft Fair

A Christmas market but make it spring themed. Most stall holders will have products for the year round, add a small stage for some background music, to add to the atmosphere and enjoy this new season which breathes life into the world after winter.

Fun run

If you’re looking for something more active, there’s nothing better than a fun run. Organise one around your venue or through the town, invite people to sign up and run for their chosen charity, or just for fun. Have an adults and kids race, and make sure there is entertainment for the celebration afterwards, Zumba taster, yoga to stretch or you could even make it into a tough mudder.

How to get a stage on a tight budget

Budget is generally one of the biggest factors in events, particularly when it comes to stages and production hire. It can seem like a stage is an unnecessary expense when the costs start piling up (and if you still need convincing that it is necessary, then you can read our Five Reasons to Hire a Stage for your Outdoor Event ). But stages don’t have to be hugely expensive, particularly if you are a small organisation like a school or a community group.

3m x 3m Covered Modular Stage

Our modular stage is the most versatile stage we have in our fleet. It comes in deck pieces which can be configured however the customer requires. The 3 metres by 3 metres stage is great for smaller events where either the audience is expected to be small or the music is for background purposes. It can come uncovered, but for outdoor events it’s recommended that you have a gazebo covering to protect performers and the kit.

Sign of the Times Festival

Taking place near Little Hadham in Hertfordshire from Friday 5 ^th to Sunday 7 ^th July 2024. Stowaway Festival

Taking place in Stowe, Buckinghamshire from 16 ^th to 18 ^th August, this family friendly festival is the perfect antidote to modern life. With great music, a Kid’s Kingdom and so much more, it’s a great escape and a must go festival this summer. With paddle boarding, a roller disco, a vintage funfair and immersive theatre, to name but a few it’s a must on your summer schedule.

Goatfest

Goatfest boast non-stop live music all weekend, the sound quality of a huge festival with the atmosphere of a boutique one. With epic food and drink and no goats, you’ll have a great time. Ten Things to Have at Your Music Festival Wedding

There were around 2.24 million weddings in 2023 according to a Zippia report, and with weddings being bigger and better than ever, it’s easy to understand why weddings are one of the most important milestones in a couples life.

According to Hitched , the average wedding in 2023 cost £20,700, which is up from the year before that. With such large budgets and it being a once in a lifetime event, it’s no surprise that brides and grooms are looking to make their wedding special and unique.

The increase in festival weddings has been prolific and we recently attended one with our inflatable trailer stage .

What is a festival wedding?

Traditionally a festival wedding has influences in the boho and rustic aesthetics, with a cool and relaxed feel that inspires a free spirited and adventure theme that couples relate to. They can be colourful and creative, and are mostly held outdoors in the warmer, summer months. All that being said, a festival wedding can be tailored completely to the bride and groom’s taste. The main components of a festival wedding are the live music and the outdoor setting.

We’ve put together a list of things you’ll need to make your festival wedding the best it can be.

The Perfect Venue

Having a festival wedding opens opportunities to explore venues outside of the traditional remit of wedding venues, such as hotels, halls, and conference rooms. Outdoor venues give you the blank canvas you need to create your vision and can be cost effective too. If you know someone who has a large garden you may be in luck, if not, consider pub gardens, outdoor spaces at larger venues or you can hire land. A couple of places to search are Borrow My Garden or Land Hire . Flexible options are available so you can tailor them to achieve the vision you had of your special day.

Tents & Facilities

If you are hiring an open field, you will need to consider hiring some sort of structure to protect your guests from the elements. There are so many options available from marquees, to tipis and stretch tents that you will be sure to find something to fit the feel you are after for your special day.

You will also need to consider facilities, such as toilets, and a bar, to keep your guests happy. These can all be tailored to fit your theme.

Lighting

With the event likely to be held outside, although in the summer months lighting will be good until later, it’s a good idea to think about lighting at the event. You can check out our blog post about lighting at weddings to see the various ways lighting can be used to give you some more ideas, but your lighting won’t only be used to practical reasons, it can also enhance and create a mood at your event. Think festoon lighting around your festival wedding and also a stage light show to highlight your bands. There are so many different options, a quick Pinterest search will bring up lots of inspirational ideas.

The Stage

Okay, so the main attraction, the stage. This will be the centrepiece of your festival event (besides the bride and groom of course!). This will be your main entertainment area and therefore should be proportionate to the size of the event. If you are having an intimate wedding a small modular stage will be perfect, but if you have a large gathering you may want to consider a bigger centrepiece, for example our inflatable roofed trailer stage which we recently took to a festival wedding, or even our large trailer stage. Don’t underestimate the pull of an eye catching stage.

The Music

Although traditionally festival weddings have a relaxed vibe with indie or folklore music, we are a firm believer that the music should reflect the bride and groom. If Glastonbury is your dream then go for it, but it you prefer 90’s tribute acts, or your own SlamDunk festival, go ahead! This is your day and you should pick something that works for you. Your guests will remember how they felt at your wedding for years to come, and music is a great way of highlighting the joy.

Dancefloor

Not essential, but if grass and mud aren’t your thing, you can totally get a dancefloor for your guests to dance the night away in front of your favourite bands. If you choose to have your stage inside, this might also be a good choice so that the dance area is distinguished from the rest of the seating area.

Entertainment

Even though in our opinion the bands are the main act, the beauty of having a festival theme wedding is that there are lots of other options to hire in entertainment to keep your guests happy. From firebreathers, to magicians, stilt walkers and so much more, there is an endless pool of talent that you can dip into the fit your theme.

Activities

In the same vein, you can also organise some games, like croquet or bouncy castles to keep your guests entertained and still retain that festival feel. The beauty of the theme is that the possibilities are endless, enjoy food? Why not have food trucks and tasting, have lots of children attending? Turn it into a family fun festival with a funfair or inflatables.

Camping

If you want the all-out experience, why not turn your wedding into a whole weekend event? One of the quintessential experiences in British festivals is the camping. Turn part of your space into a campsite and set up tents for your guests, or if you’re going for a smaller scale, get them to bring their own. Nothing says festival more than a sea of tents and a stage in the background.

Everything you need to know about our Inflatable Roof Trailer Stage

The Inflatable Roof Stage is a gem in our fleet, with its unique design and eye-catching canopy it’s a fantastic centrepiece for any event. It’s a rapid deploy trailer stage which is ideal for one day events. It’s very popular for community events and weddings, allowing the audience a fantastic view of the stage floor.

It takes around forty-five minutes to set up this stage and it’s perfect for event sites that has restricted vehicle access. At 6 metres wide it’s large enough for bands, dances acts and DJ’s and at 5 metres tall, it’s an eye-catching structure that can be seen from a distance to draw in the crowds.

Unlike other inflatable structures this does not require the constant use of a fan and the canopy itself is fully waterproof with clear panels filling the space between the white beams.

It comes with a black wrap around skirt, one set of stairs and a double arched truss to hang lighting from. The stage deck stands at about a metre high, and the truss allow flexibility when it comes to lighting options.

What does a Mixing Desk do?

Technical Insight - The Mixing Desk

This is the first in a series of blogs we are producing to give you an insight into some of the equipment we use at events for sound and lighting.

We are going to start with the mixing desk.

The mixing desk is the heart of any sound system. It controls every input and output of the system, and it’s where the sound engineer works their magic so everyone can hear the show clearly.

Depending the type and size of the show, the mixing desk may only need a few inputs from microphone or laptops, etc. For larger shows there may need to be thirty or more inputs into the mixer.

Digital vs Analogue Mixers

For most or our summer events we will use a 32 channel digital mixing desk. Fundamentally a digital mixer and analogue mixer will do the same job. The digital mixer will just have to convert the analogue signals from the microphones, etc, to a digital signal for internal processing, then back again to send the sound to the speakers. Digital mixers allow for a lot more processing and effects internally in the mixer. In the past, if you needed to process the different sounds, then you would have needed to bring additional processing units with you to every gig. This was heavy, time consuming, and needed a lot more cabling. Digital mixing desks, not only have this processing and more built -in, they also now have a lot of automation, that reduces the workload on the sound engineer.

Channels on a mixing desk

You will need a separate channel on the mixing desk for each microphone, direct instrument connection or playback device. This is important, so the sound engineer has fully control over every input to be able to get a balanced sound.
There are several main controls you will find on most digital and analogue mixers. These would be Gain, EQ, Aux Sends, panning and volume fader.

Gain

The gain control is effectively the master volume control of the channel. This is generally set during the sound check to ensure there is enough sound coming into the channel, but not too much the it is being overloaded.

EQ

EQ is short for equalisation, and give the sound engineer control of different frequencies in the audio spectrum to be able to turn them up or down. Not all sounds coming into the mixing desk have a balance audio spectrum, so it is important to be able to adjust this.

What to look for when looking for your perfect outdoor venue

With over 500 music festivals in the UK every year , the event industry is outdoors for a very good reason. We covered the pros and cons of outdoor events and in this post we will be looking out how to find the perfect outdoor venue for your event. We will even link to some outdoor venues we think would make a great place for a music festival.

Size of Space & Capacity

Outdoor event venues vary dramatically in size, so it’s good to have a rough idea of how much space you will need. To find this out, you will need to know how many people you plan on having attend your event and what activities and facilities you will need. A large festival with multiple stages, a funfair and food court will require substantially more space than a small concert with just a stage. When you approach a venue, they will be able to give you a rough estimate for capacity in the different areas that they have available and can help you decide how much space you will need.

Facilities & Amenities Available

When looking for an outdoor venue, you will need to consider what facilities and amenities are essential to your event and whether you need them on site or whether you can bring them in. For example, you will need sanitary facilities for your audience, toilets and hand washing facilities. You will also need to provide drinking water to stallholders and for your audience. These things can be brought onto site, but it is helpful if the venue already has access to these, so be sure to ask them when viewing a venue. You may also need amenities such as a bus stop, drop off area, a first aid room, etc

Parking & Public Transport Links

A big thing with festivals and outdoor events is transport links. How is your audience going to get to your event and what do you need to put in place to facilitate this. Check with the venue what access for vehicles is like and what public transport links do they have. Nearest train station, bus station, anywhere for bikes or motor vehicles. You may need a whole additional field for car parking so this will need to be a consideration when choosing your venue.

Licensing

If you don’t want the hassle of having to sort out your own licence for your event you will need to select a venue that already has a premises licence in place. Many places do but this will come at an extra cost and most venues with a premise licence will charge more than those who don’t. Although a one-off licence isn’t overly costly, depending on attendance numbers and location, it can be an added stress having to organise it. Weigh up the pros and cons of this to decide what option is better for you and your event.

Restrictions

Whether you are getting the licence yourself or if the venue already has one, you will need to check any restriction put in place by the licencing committee. This can include noise levels and event timings amongst other things. Check these to make sure they align with your event idea.

Atmosphere & Accessibility

This is less tangible but will make a whole load of difference to your event. Finding a venue that has the right atmosphere for your event will matter, for example organising a rave in front of a stately home versus organising it in a clearing in the forest will completely change the feel of the event. Have a think about the vibe you’re looking for and what type of venue would match up well with it.

Equally important is the accessibility of the site. What is the surface like? How far is the journey from the car park to the event site? Can it be adapted to be more accessible for all your guests?

Layout

Most outdoor venues are a blank canvas, the space fully flexible to accommodate your event, but when looking for a venue, remember to think about the logistics. Where are your guest going to park? How will they get from the car park to the event? Walkways, paths, access points? Don’t forget to look at emergency vehicle access which should be different to the pedestrian entrance. Egress points and emergency evacuation plans.

From an aesthetic point of view, what will your guests see when they first arrive? Which way can the stage or main activities point for maximum effect?

Cost

Finally, but definitely not lastly, think about your budget. Outdoor venues can vary in cost substantially. From a few thousands to tens of thousands, it’s important to know what your budget is and what you can afford. Here are some venues that we think are great for a large scale outdoor event in the local area:

Shuttleworth – This venue is stunning with the old manor house situated in huge parkland. The grounds are flexible and different areas available depending on the size and nature of your event. We’ve worked on a couple of events here and the team at Shuttleworth are great.

Herts Show Ground – A dedicated event venue that has great flexibility and access links. Home to the Herts show and other national events, it’s a great space to hire for your outdoor event.

Cainhoe Manor – A slightly small family run venue who offer great flexibility. The house at the centre of the grounds is beautiful and it makes a great wedding venue too.

Hitchin Priory – In the centre of Hitchin this venue has great access for public transport and the monastery as a backdrop to the parkland behind.

Oaklands College – Not your typical outdoor venue but a great space that can be used for most events. We’ve worked on the Foodies event here for the last few years and it’s a great outdoor space that is well kept.

Our team have a wealth of knowledge and experience from over 25 years in the industry.

Let’s have a closer look at the company's Marketing & Business Development Manager

Sophie is an experienced Event Manager, with knowledge and experience of outdoor community events as well as corporate events, private events and weddings.

Sophie manages the marketing side of Koncept Productions but also helps with office duties and can be seen at events, mostly taking photos.

We’ve asked Sophie some questions to get to know her better.

What sort of duties do you have?

I’m responsible for all aspects of the company’s marketing, so looking after the website, ads, blog posts and all our social media. It’s my job to send out the newsletter, design leaflets and brochures. It’s also my job to work on income streams, the direction the business is taking and the goals we set each year.

Where did you work before this position?

Before this job, I was an event coordinator for a town council, where I organised a programme of community events throughout the year, ranging from small craft fairs to a one-day music festival that welcomes 10,000 people throughout the day. It was a great adventure and where I met Martin.

What was your first job?

My first job was at university, I worked in the student union as a receptionist. I was also an estate agent on the weekends. Neither of which I loved but as they say, it paid the bills!

What’s the worst job you’ve ever had, and what did you learn from it?

I had a job for all of a month back after I graduated university. It was an admin role for an IT recruitment company, and it was the most miserable experience of my life.

I learnt a few things in my short time there, the first being that the people you work with are everything. The managers can make or break a team and they chose the ethos and atmosphere of a workplace. A good manager changes everything.

The second thing that I learnt was that I wasn’t content in a job that didn’t push me, that didn’t teach me anything or support my growth. I need to be busy to thrive and I need to be challenged to enjoy my job.

Can you speak more than one language?

Yes! I can speak fluent French. I actually grew up in France from age 5 to 18. It’s a little rusty these days because I don’t use it as much as I used to but it’s still there somewhere.

What’s the best concert you’ve been to?

This is a tough one, I’ve been to a few brilliant shows but must confess I prefer smaller, intimate venues rather than larger ones or festival. This year I saw country artist Jordan Davis who was fantastic and I’m looking forward to seeing Taylor Swift again this summer but the best one I went to was a Dan and Shay gig in Bush Hall. There were only 100 people in the room, and it was the two of them with a guitar and it was amazing.

What TV show have you binged recently?

I binged the second season of Heartbreak High not too long ago, but I’d be lying if I wasn’t impatiently waiting for Bridgerton season 3!

If you could play an instrument, what would it be?

Taking a deep dive into everything that makes up the Arc Truss Stage

Our popular Arc Truss Stage comes in two sizes, 6m x 4m and 8m x 6m. Fairly new to our fleet with only a few years’ service under its belt, it’s proving to be one of our most booked out stage every year.

6m x 4m Arc Truss Stage

The smaller one is a beautifully designed compact stage that is ground supported. It’s great value for money, as you get a styled stage for a low cost. It can be set up in 2 to 3 hours which makes it great for sites that have limited access before and after the event. If site access is also limited this stage might be a great solution for you as it comes delivered in pieces that can be moved into place. It’s great for multi-day events with reduced daily cost compared to trailer stages.

The stage itself comes with a weatherproof canopy and a black wrap around skirt. Lighting can be hung from anywhere on the truss frame and a line array system can be hung from the truss at the front. The stage decking is modular and as standard comes as a 6m x 4m size. This can be extended or reduced but if extended the roof will only cover the 6m x 4m section.

The large stage is ideal for festivals and concerts and is also ground supported. With adjustable height, this impressive and solid structure is the perfect centrepiece for any festival. It’s the perfect choice for setup during the week, with reduced cost for additional days compared to our trailer stages. It’s an impressive stage for a low cost and can be set up almost anywhere, even where vehicle access is restricted.

The stage deck is adjustable between 0.8m and 1.3m, with the overall height of the canopy standing at just under 6m from the ground. Understanding the Pros and Cons of hosting your event outdoors.

With 141.5 million visits to outdoor events with a £39.5bn spend off site , it’s easy to understand why outdoor events are very popular in the UK. Whether it’s a music festival, theatre, fairs, shows, recreational or corporate, outdoor events are a great way to bring value to the local community as well as to the organiser. But when organising an outdoor event, there are several considerations that will need to be factored into your planning.

In this post we will be looking at the pros and cons of outdoor event spaces. This will help to understand the implications of hosting the event outdoors and any additional contingencies you will need to put in place to ensure its success.

Pros

Space

The biggest positive about outside venues is the space. You will have far more space to accommodate additional attendees, activities, stall holders, you name it. Indoor venues are often limited on numbers but with outdoor spaces that number is much higher. If you had a music festival in mind, you could have over tens of thousands of attendees whereas finding a venue that large indoors would be difficult.

Versatility

Speaking of the space, versatility is another pro to having an event outdoor. The options are endless when it comes to event layout, theme, decorations, atmosphere and feel. Whatever you imagine, as long as your budget stretches, you can probably create outdoors. A huge stage with PA wings, no problem. A funfair, no worries. Let your imagination run wild with the possibilities.

Cost

Outdoor venues tend to be more cost effective and are more budget friendly than indoor spaces. Parks, fields, and town centres are all options to consider for your outdoor event, as well as country houses parkland and designated show grounds. They are more cost effectives as generally they come without any facilities and have low running costs.

Cons

Weather

This is Britain after all and sadly we still don’t have the luxury of Mediterranean weather, which means hosting an outdoor event leaves you open to the elements. This is by far the biggest draw back of outdoor events, but it’s not all doom and gloom. Contingencies can be put in place to counteract the weather, like marquees, big tops etc to help provide shelter if the worse was to happen. Hedging your bets and going for spring or summer will also help with this.

Access to facilities

Another con of outdoor events is that in some cases, the facilities will be limited. If you’ve hired a field you will need to bring in things like power, water, toilets, fencing etc. If you’ve hired a show ground, there may be some facilities available but likely not enough to cover your needs, so this is something to bear in mind when planning your outdoor event. Security

Security can also be a con to outdoor events. If you have a large open space, you will need to get additional security, including overnight, to keep your equipment and event site safe. This of course comes at an extra cost so something to be aware of when planning.

Weighing up each of these pros and cons will help you decide if an outdoor venue is right for your event, or if you want to change your event to counteract some of the cons we’ve listed.

We’re a small business but in 2024 we’re making big steps

The first quarter of 2024 has disappeared in a blink of an eye, and we’re still catching our breath from all the changes and moves we’ve been making to make sure that 2024 is out most successful year yet.

As loyal customers, we want to keep you updated on the different things that have been happening, that you may or may not know about.

New line of business

First up, we’ve started a line of business to share more of our knowledge with our valued customers. When we’re out on the road, working events, we meet so many bands and performers, all at different stages of their careers but one thing they all have in common is their passion for performing. Having been part of the industry for many years, we’d like to think we know a thing or two about live music performances and have therefore started The Band Shop , a one stop shop for all your equipment needs.

The Band Shop is the sales branch of Koncept Productions, giving you professional advice, quality equipment and custom packages for every need. With the online shop up and running, you can order online with ease or call us to discuss your needs and we can recommend the right gear for you.

New members of staff

With the expansion of the business, we’ve needed to hire more staff to help with the increased workload. We spent January and February advertising and recruiting for two new roles within the business.

First, we hired, Joel as our Online Sales Assistant. Fresh out of school, Joel has joined the team to run The Band Shop. He can be found in the warehouse processing orders and making sure our customers are happy with their purchases. In his down time, he loves playing video games or listening to Reggae.

Then, we hired Gina as our Sales Executive & Bookkeeper. She will be primarily working on the businesses’ accounts and chatting to clients about their events and requirements. In her down time, Gina loves spending time with her children, and is a massive foodie.

A new warehouse

You might have seen on Instagram, but we’ve also moved! We’ve moved to a newer place near Biggleswade, that has a larger office for our growing team and enough space for all our equipment. We’ve spent most of the last few months getting all the kit moved and setting it up ready for the upcoming season. It’s still a work in progress but we’re excited to get settled in and making the place our own.

More bookings

This year has also seen an unprecedented number of bookings and enquiries coming through since pre-covid, which is very exciting. We’re looking forward to attending lots of events this year but if you haven’t booked your stage yet, we do have limited availability now for the summer, so get in there quick before it all goes.

How to Budget for an Outdoor Event

A guide to budgeting for your outdoor event with tips and tricks

The UK events industry is estimated to be worth £42 billion ( Quadrant2Design ), that’s a lot of money travelling between businesses to bring events to the customer. Planning your events budget should be at the forefront of your mind when you start your initial planning. A study found that budgets are particularly important in the planning and coordination process, keeping the organiser on track and not on the edge of financial ruin.

Outdoor events can be unpredictable, particularly in Britain where the weather is forever changing its mind. A solid budget, with a realistic view of what it will cost to put the event on, can save you headaches further down the line.

Whether you are organising a festival or a community event, keeping track of your finances, your limitations and your opportunities within that will help you pull off a great event, no matter the budget.

But where to start?

Events are multifaceted, there are lots of different areas you will need to consider to make sure you have covered all your bases. A budget is not just about expenditure, it’s about income too. How are you going to fund your event? At what stage will you have access to that money?

INCOME

Start by listing all the areas where you will have income streams, this includes ticket sales, personal contributions, loans, sponsorship, stall holders etc. If you have an idea of what each of these will be, write that down too.

Ticket prices can vary substantially depending on the event type, so do your research. Check out other events that are a similar size or offer a similar experience and see how much they are charging. Have an idea of how many people you are looking to have at the event and this should give you an idea of the income generated from ticket sales. Top tip – depending on your ticket sales platform you may only have access to your funds after the event, so you will need to consider carefully how to fund the event before then. If you receive the money directly, be aware that if the event is cancelled (due to the weather for example), you will need to refund your ticket holders.

Sponsorship is reported to be the primary source of income for events (Source Bizzabo ) so don’t overlook this when considering your income. It could be a good idea to come up with some sponsorship packages, with gold, silver and bronze tiers. Approach local or national businesses to see if they would be willing to contribute.

Your stall holders will happily pay a pitch fee to attend your event, or you can take a base fee plus a percentage (this does rely on your stall holders being honest about their own income though).

Once you have your income listed, you can start on your expenses.

Remember , a budget is a living document, it changes and adapts as you move along the process, so don’t be too rigid or attached to these numbers as they will likely change.

EXPENSES

This is arguably the harder part of the two, especially if you don’t have previous knowledge of event budgeting. Eventbrite have put some guideline prices for you to have a look at, but it varies so much depending on the event that further research will be needed.

Our suggestion is to get in touch with contractors from each of the categories you think you will need and get some ballpark prices. You will have to make contact with most of them by phone or e-mail as events vary so much it’s hard to put guide prices on websites.

It also helps to have a clear vision of the event you want to organise, then you can scale up or down based off their prices and your income budget.

Venue

Your biggest outlay will be the venue. If you don’t already run or own a venue you will need to allocate a large chunk of your budget to this. (keep an eye out on our blog for our How to Find the Perfect Outdoor Venue post which is coming soon). Depending on the venue you select, they may charge by the day or by the weekend, some will include licenses, others won’t. Some may have facilities, like toilets and fresh water supply and others won’t. This all needs to be weighed up when assessing a venue as it will impact your costs in other areas.

Licensing

If your venue doesn’t have a license, you will need to get a licence to hold an event there. You can read more about the different types of licences you will need in our post Licences for Live Music Events . Each licence will have a fee attached and that will vary depending on the size of the event and what activities you plan on having. Get in touch with your local council to discuss this further.

Insurances

There are different types of insurances available for events but the main one is Public Liability, you won’t be able to run your event without it, so make sure you have factored that cost into your budget. You can also get events insurance which can cover a variety of things including inclement weather, cancellation for various reasons etc. Get a comprehensive quote to see how it fits into your budget then tailor to suit your needs. Don’t overlook it though, as mentioned below, if you cancel the event you will need to refund all of your ticket holders.

Advertising & Marketing

Your marketing and advertising budget is flexible, this will be down to how much you want to invest in promoting your event (this can have a direct impact on ticket sales and attendance so consider this carefully). Here are a few things you may want to consider – a website, radio ads, social media ads, influencer ads, billboards and banners, flyers and print marketing ads. You might also want to hire a photographer and videographer to cover the event so you have marketing materials for future years.

Security

This will be another chunk of your budget, with external threats and internal issues, having a decent security team is paramount. It can feel like a waste of money when nothing is going wrong, but you will absolutely need them when things start to go south. Get a team that know what they are doing and are experienced in working events of your size. They usually charge per person per hour, so assess when you will need them to arrive and how long you will need them to stay. Consider having them cover egress as well, because people rarely leave the minute the event is over. Consider what type of overnight security you will need if the event spans multiple days too.

Staffing

Unless you have a huge team of paid employees ready to volunteer their time, you will need to hire in event staff. This also comes at a cost, but there are companies out there that provide exactly that, event staff by the hour. Have a think about how many you would need to cover your event site and car park (you may opt to hire a traffic management company (check out Num8erTraffic to see what type of services these companies offer) if you are expecting huge numbers of cars too).

Entertainment

Your entertainment budget will be another flexible one, this will come down to how much income you can allocate to it once you’ve got all the basics in place. Talent and entertainment can vary wildly in cost depending on what you are looking for (we have a great post about sourcing your performers that you can read). If you are looking for small local acts it will cost substantially less than if you are looking for a named act or household name. We would suggest getting in touch with a booking agent, they will have lots of knowledge on costs and realistic prices for the acts you are looking for but don’t forget to budget for their fee too.

Facilities and Infrastructure

This will be another large chunk of your budget but without infrastructure you don’t have an event. You will need to consider stage, sound and lighting hire, toilets, first aid provisions, water and electricity supplies, marquee and tent hire, furniture hire (picnic tables etc), track matting and fencing. Each of these will come with a price tag that will vary depending on the size of the event and the number of attendees expected. Contingency

We would suggest putting aside a contingency just in case you come across problems that will need additional spend to remedy.

Once you have all the figures you can play around with it to scale the event to something you can afford or find new income opportunities to make it the biggest and best event possible.

Event Site Sound

Not all events require a stage but will still require sound

If your event doesn’t require a stage, you will probably still require some sort of PA system to communicate with your audience, to keep them informed of safety information, or of what is happening on the event site. You may also have an arena for performances where the viewing is all around and a standard PA system wouldn't work for you.

Many outdoor events require a public address system to provide amplified sound over possibly hundreds of metres and the system needs to be designed specifically for being out in the elements and to withstand the rigors of the British weather. Each event is different and will therefore have different requirements and layouts when it comes to site sound installations.

It’s important to consider what the system will be used for and who the sound needs to reach, to be able to design a layout specific to that event. If there are volume level restrictions on site too, you may need to consider a speaker system that will cover your audience to make sure they can all hear but that the level remains low enough to adhere to restrictions. These are called Delay Line Systems.

Event Site Surfaces - Pros and Cons

The pros and cons of each event site surface from a production perspective

When it comes to event sites, it’s important to consider all aspect of the sites for the event you plan on hosting. This includes the ground surface and how that impacts the activities you have planned. We’re going to do go through each popular event site surface and discuss the pros and cons of them with regards to production. If you are hiring a stage, it’s important to come at this from a health and safety point of view.

Grass

This is by far the most popular event site surface used for outdoor events. Whether it be parkland or open fields, it’s a popular choice for larger festivals and events.

If the ground is well established and has been used to events, it’s a great choice as it means you can have a ground supported stage, such as our arc truss stage which needs pinning into the ground to ensure it is safe to use. You can also use our trailer stages on this surface which means there’s plenty of flexibility and options for you to choose from.

Watch out for newly laid grassland though, that has been used for other purposes such as farming, you will need to make additional checks. As the ground might have been aerated, it won’t be as stable as mature grassland. This doesn’t mean you can’t use it, but you might need to put additional measures in place.

With grass surfaces, it’s important to consider the effects the weather may have on it. Heavy rain could affect the stability of the ground and flooding may make the stage unusable. It will be imperative to have a contingency in place for this, which may mean cancelling the event if the rain is excessive.

Grass surfaces affords you more flexibility but considering the implication of that is imperative.

Concrete

Concrete is another type of event surface, particularly used in sites designed for event purposes. This can be a great alternative to grass as it offers a more stable surface for your activities and audience. It won’t be affected by excessive rain and will be less of a health and safety risk. However, when it comes to the production side of things, it changes your options.

The trailer stage is still a great stage for hard standing as it doesn’t need to be pinned into the ground to be safe to use, however if you wanted to the arc truss stage, then this will limit your options. If not ground supported, the stage will need to be weighed down with large water containers, which are both cumbersome and expensive to fill. If budget is not an issue though, then your options are more open.

Concrete may be the best option for the health and safety of your guests and staging if the weather isn’t favourable, but it’s worth considering other options.

Gravel

Gravel may be a good option for a stable surface for your event, but again it comes with similar issues to concrete. Any ground supported stages will need water ballasts to be safe and secure, but trailer stages are a good alternative. Gravel provides good drainage for water and won’t turn your event site into a slip and slide if the heavens decide to open.

Whatever your event surface, we have options and equipment to work on all of them. You can also hire event flooring to help if you are concerned. There are different options, such as artificial grass, track matting or carpet for inside marquees. These may not help for your staging, but it can help with the health and safety side of the rest of the event.

The great British weather is as unpredictable as ever, yet, after the gloom of winter, when spring rears its long-missed head, it could be the perfect time to host an outdoor event.

If you're new to event management or new to having us as your contractor, you might wonder what happens once we arrive on site for the set up of the event. Sometimes the most basic information is glossed over as assumed but we're here to explain each step of the set up between arriving on site and the start of the show.

A Guide to Outdoor Staging

If this is your first time hiring an outdoor stage or even if you’re a seasoned professional, it’s good to recap what’s important when considering which outdoor stage to hire. It doesn’t hurt to re-evaluate to make sure that the product you currently use is still the product you need.

Let’s dive into your guide to outdoor staging.

Venue

The first thing you will need to know is the size of the venue and the scope. We need to know how much space is allocated to the stage, what the access is like, and the ground surface. These things will all affect which stage you will require for your event. For example, if you have restricted access, we may need to hire smaller stage or once that comes to pieces easily. If the ground is hard standing you will need one that doesn’t need to be ground supported, so a trailer stage, but if it’s grass, this offers more flexibility. If in doubt a site visit is always helpful to chat through options and our team are more than happy to come and have a look around and share their experience and knowledge to help you decide what is best for your event.

Event Size

The expected size of the audience also has an impact on which stage to go for. The larger the audience, the bigger the stage, because the point of having a stage is for your entire audience to have an unrestricted view of the performances. This is only possible is your stage is the right size for your audience. If your stage is too small, your audience enjoyment will be affected, and the overall success of the event will be in jeopardy. Other things to consider is whether your stage is the main attraction or whether it’s an additional form of entertainment. That will reduce the need for a larger stage if your audience will be exploring other areas of your event.

Performer requirements

Who you have performing during the event will impact the size of the stage. If you have mainly small acts, solo or duo’s performing your stage will need to be much smaller than if you have full bands, dance groups and drum circles. Do any of your performers have access requirements? Do they need a ramp or steps? What sort of equipment and instruments need to be on stage? To get the best idea of this, ask your performers what their requirements are and then speak to us to discuss what we suggest.

Time constraints

Event timings are important to know how much time you have pre-event and post event to set up and take down. Whilst most of our stages can be set quickly, it can sometimes take a day or two to set up the larger ones and we will need access to the site to do so. Our trailer stages can be set up on event days depending on timings, so it’s important to know when you will have access to the site and for how long for. This can also affect pricing depending on what your requirements are.

Hire Costs

At Koncept we believe in a customisable approach, where no one package fits all. That means you get the products you need at the right price. All of the above can affect the price but the main reason for increased price is distance to the event site and build/derig times. The longer our crew are on site the more it will cost. It’s something to consider if your budget is tight and cost is a factor.

Top Tips for a Rainy Event

What to do when weather strikes?

We recently wrote a post about the different types of weather you need to be particularly careful of, and what precautions you need to take. The most common weather event we have in the UK is rain. But what impact does this have on an outdoor event, and what can you do to mitigate the situation?

Weather forecasting is great, but is only really accurate up to about a week in advance, and we all know that the planning of an event starts months or even years before the day, so we have to have a wet weather plan in place.

This could be as simple as making sure you are supplying enough marquees or gazebos for the most important attractions, and making sure that anything that could get damaged by the rain is under cover.

Especially important is any electrical supplies that are being used during the event. Event electrical safety is the responsibility of the event organisers, and you need to ensure the power connections and distribution equipment is designed for outdoor use. Any equipment that is not design for outdoor use needs to be under cover and off the ground.

Something else to think about is when you get heavy rain on a showground the water directly from the sky is only one consideration. Flooding, or moving water, also has a big impact on how an event will cope with rain.
The positioning of all the attractions must be considered during the planning stages to ensure a successful day.

The final point we are going to make is not just about the day itself, but about the lead up to the event.

How are you planning on getting vehicles on and off a grass showground if it’s wet? You might have studied the weather forecast and are happy it will only rain for the two days before your event, but on the day it will be fine. Will the ground be dry, and how much damage will all the traders and attractions do to the ground before the public arrive? It is always worth considering having some plastic trackway on standby, or at least factored into the event budget, so there are no nasty shocks on the day.

What education and experience do you need to be a sound engineer for a festival?

There are two distinct things you need to have a grasp of to engineer the sound for a production.

The first is a good understanding of the equipment you are using. Not only do you need to know how to operate it and know how to make it work for you, you also need to know its limitations. Even small events with just a couple of PA speakers can sound great if they are set up correctly and you know how hard you need to push them.

When you are mixing a show things happen very quickly, so you need to know where to find all the controls straight away.

The second thing you need to understand is how to mix the show and get a balanced sound. This is not as easy as you may think and it is all too easy to keep turning things up to get them heard, when often the better solution is to turn things down and reduce the overall volume.

Both of these things require a certain amount of education and experience.

Whether you get formal education, experience on the job, or self teach yourself with hours of youtube videos, you can get a really good understanding of the equipment and the basics of mixing, but nothing, other than experience, is going to prepare you to get the best mix.

It doesn’t matter how big the show, every gig under your belt will teach you something. Every one of our crew will tell you they learn something everyday. Whether that be how to use a feature of the mixing desk differently, or mixing a genre of music that they’re unfamiliar with, there is something new to take in each time.

All of these little experiences build up to give you a knowledge base that you can call on time and time again in your career as a sound engineer. The more experience you gain the bigger the show you will feel confident mixing.

All of our team had to start somewhere, for me it was at school (back in the 90’s) doing the sound for assemblies. Some of the other guys started with the sound for their own bands. I pursued my career by studying sound engineering at college and continued into West End theatre.

However you develop your own career, it’s important to know how your equipment works, its limitations, as well as how to mix a show, before you can attempt to to take on the sound for a festival.

Licences for Live Music Events

What licences do I need to have in place to have live music at my event?

Having live music at your event isn’t as simple as hiring a stage and performers, there’s a number of licences needed to legally be able to host this type of event.

We’re breaking it down for you and pointing you in the right direction to get you started with your licences.

A perfo rmance of live music, whether it be karaoke, a band or a choir is a licensable act and therefore requires a permit for you to be able to do it at your event. There are two types of licenses that will cover your event for these, a Premises licence and a Temporary Event Notice.

Premises Licences

A premises licence covers a specified area for licensable activities and is provided by your local authority. This will allow you to have live music at your event, to sell alcohol and to serve refreshments after a certain time. It will also enable you to have more event attendees (for an extra fee).

This licence is great if you plan on holding a large event in a venue that doesn’t have a licence already, although many event venues to already have a licence in place and you may be able to host your event under their licence, it’s best to check when you are looking at a venue. If you own the venue, it’s a good addition to have so that you can hold numerous event a year and hire it out to other event companies.

TEN (Temporary Event Notice)

A Temporary Event Notice (TEN) covers what the premises licence does and is great if you the event site doesn’t already have a licence. It covers you for one event, as long as it’s for less than 500 people (including staff) and runs for less than 7 days. You can apply for up to 5 TEN’s a year, and a venue can have 20 TEN’s badged to them over a year.

Without a licence you run the risk of a fine or being a prison sentence of six months, or both, so don’t forget your licencing when planning your event.

You will also need a music licence to accompany your premises licence. Again there are two different ones, make sure to check which one works for you.

PRS (Performing Right Society) & PPL

The PRS music licence contributes to performers work and is a type of royalty paid for having their work performed live. It’s an administrative business that pays for permission to play other people’s work live. Without them, event organisers would need to contact thousands of artists, producers, songwriters etc to get permission to perform their music. If you don’t pay for the rights to perform you will be in breach of copyright, so it’s a licence you will need if you want to put on a live performance.

The difference between PPL and PRS as per their website :

“PPL and PRS for Music both license the use of music and collect royalties for the music industry, but each represents different rightsholders and have separate licences, terms and conditions.

PPL and PRS for Music are two separate collective management organisations (CMOs). PPL collects and distributes money on behalf of performers and record companies for the use of their recorded music. PRS for Music collects and distributes money on behalf of songwriters, composers and music publishers, for the use of their musical compositions and lyrics.”

You can call their helpline to discuss rates, fees and ask any additional questions about the licence.

We highly recommend you speak to your local council and PPL&PRS to discuss your event and which options are best for you, based on event size, location and budget.

What does a Band and an Event Manager need to provide for a live performance?

When a band puts on a live performance there are lots of thing to remember. Not only the equipment the band needs to bring, but also what event organisers or the production crew need to provide for them.

We’re giving you a handy guide to what you will need to bring or have to hand for a live band performance.

Things the band need to bring:

Their instruments
Unless the event organisers are providing a backline, then the band need to make sure they bring everything they need, including drum kit, guitar amplifiers and keyboards.

Drinks
Don’t forget, if you are playing for any period of time, you’re going to get hot and sweaty, and you need to make sure you keep hydrated.

A set list
All to often we see bands that have to discuss with each other during their performance what song they are going to play next. Not only does this look unprofessional, it wastes time on stage in front of the crowd.

A multiway power lead

If you have a lot to plug-in, then don’t rely on the event organisers to supply enough sockets on stage.

There are things we see bands forgetting all the time, so the below is a check list for those smaller things that you will need.

For the Drummer:

Drum Sticks & Spares
Drum Stool
Kick Drum Pedal

For the Guitar and bass players:

Spare strings
Spare guitar lead
Power cable for your amp (we lend these out at least once a week)
Spare batteries (for wireless packs, pedals or electro-acoustic guitar)

As an event organiser you need to make sure you provide:

A performance space
Generally this is a stage you need to hire in, but you may be lucky that the venue you are using have a suitable performance space.

A PA system suitable for the performances and the size of the crowd.
This is again something you would normally need to hire in, and unless you plan to operate it yourselves, then you’ll need a sound engineer with it.

Power sockets on stage

Most professional PA companies will ensure they provide power on stage for the performers, but it is something you need to make sure is arranged.

Stage Lighting
Is it going to be dark before the performances have finished? If so, you need to make sure you have stage lighting. Depending on you budget this can be as simple or as lavish as you like.

A changing area
Most groups will want to look good onstage, and many will what to change into their best cloths/costume before their performance.

Access/Parking
A band will bring with them a lot of bulky equipment that they need to get from their cars/vans to the stage. Every year we attend events that have given no thought to this, and make the bands walk their gear hundreds of metres across a site.
If access will be restricted during the event, then bands need to be informed of this and arrangements need to be made to get the equipment to the stage before the event opens, or provisions need to be in place to ferry the equipment to the stage during the event.

Generator
If you are putting on an outdoor event, do you have power available to you? If so, is it enough? You may need to consider getting a generator in to power everything.

We have also provided a list below of the type of equipment the PA system should consist of. So even if you are not providing the PA system yourself, you should check the following is included:

Mixing Desk (with enough channels for the band’s needs)
Speaker System for the audience (Powerful enough for the size of the crowd)
Speakers for the band (a band will normally require no less than 4 monitor speakers)
A good selection of microphone with cables (At least enough of each type to cover the band’s needs)
Microphone stands (almost every microphone on stage will need some kind of stand)
D.I. Boxes (these are used to connect electronic instruments to the PA system)
Sound Engineer (as previously mentioned, someone needs to control the sound system)
Power cables and distribution (a PA system takes a bit of power, so need to have its power supply planned out)

Temporary Structures and Inclement Weather

Considering Inclement Weather when Planning your Event.

You have planned everything for your outdoor event and you are ready to open the doors, but have you thought about what would happen if the weather spoils your plans?

Not only is it important to have a contingency plan, but you also need to understand your responsibilities, and whether these may lead to you having to cancel or postpone the event.

In most cases there are two types of weather conditions that you have to pay special attention to, wind and lightning .Your event plan should already take into account what to do in case of rain, and most people don’t hold outdoor events in the snow.

Let’s dive straight in.

Lightning

You have to be aware that there will be a lot of conductive parts on demountable structures (Stage, Marquees, etc) as well as parts of your attractions, so you need to have a plan as to what to do if lightning is in the area during your event.

As the event organiser you are required to ensure the safety of everyone at the event, including yourself, so provisions need to be made to ensure everyone knows what to do. Nine times out of ten, lighting comes as part of a storm with plenty of rain, which makes everything even more conductive.

You should plan for things around each location where you have a structure that may be susceptible to a lightning strike, as well as planning for the site as a whole. Plan to clear the stage of all people and set up an exclusion zone. It may be the same for any marquees on the site and any inflatable or fairground ride will also have to be considered for evacuation until the storm has passed.

This all takes careful thought, and no something you want to leave until the day of the event. Check out our post about where to find health and safety information to help you with your planning process.

Wind

Wind is probably the most common weather event that can close an event. By its very nature an event is something that’s not permanent, and almost everything you need to put on an event is bought onto the site as portable equipment. Most portable equipment is less stable, lighter or more easily moved than permanent structures.

This along with the fact that many outdoor events are held in big open spaces, it means that everything is more susceptible to the load that wind will put on it.

Most demountable structures like staging and marquees will have a rated value for wind loading and this is normally in the form of measurement in metres per second.

You need to be fully aware of the wind loading for all the structures on your site and at what point you need to take action. In most cases, you will need to take action well before you reach the maximum wind loadings. In some cases, you can mitigate the risk by removing some of the structure. In other cases, it may mean adding bits to the structure, but ultimately it may mean closing the event.

Debunking Five Production Myths

There are a lot of myths that float about any industry and ours is no exceptions. There is always an armchair expert ready to tell you what you’re doing wrong and most of the time, they’re wrong. Let’s trust the experts to do the best job they can and in the meantime, we’re going to debunk some myths.

To hear at the back, turn it up

Turning it up will indeed make it louder at the back but you’ll also open yourself up to noise complaints from locals and from the people at the front. If you’re crowd is going to be spread out or in a narrow space going back from the stage, you need to consider speaker placement to ensure that the whole crowd can hear properly. It might be better to place speakers and intervals around the site to ensure complete coverage or to upgrade your speaker system to cover the size of your audience.

Hiring a stage is a waste of money

It’s easy to think that hiring a stage is an avoidable expense when you can place your performers on the floor behind barriers or beneath a marquee but there are many reasons for hire a stage that can elevate your event. We know what you’re thinking, we would say that because we’re a staging company but hear us out. We’ve already written a post giving Three Reasons to Hire a Stage for your Indoor Event, these reasons are also valid for outdoor events.

It gives a better viewing experience for the audience and allows you to reach more people with your entertainment.

The bigger the stage, the better

Having the biggest stage you can afford is not always the best option. It can negatively impact your audience if your stage is too large for the performers you have booked and can leave the audience feeling disappointed. Yes, budget is important but more than that you must think about the type of acts and performers you will be having on your stage. If you are planning on having acoustic solo singers, you will likely not need a big stage but if you’re having large bands and dance groups, you will need more space. The size of your audience will also help you decide how big of a stage to hire, although most stages have adjustable height to ensure the audience can see everything.

Anyone with basic knowledge of the equipment can be a sound engineer

Like any job, education, knowledge and experience are necessary to be a good sound engineer. You may be able to pick up the basics but a good sound engineer will be able to tackle any problem that comes up, will be able to work with the performers and will ensure the event has the best sound quality possible whilst making sure everyone can hear clearly. There are so many skills required to be a sound engineer, which cover far more than just knowing how the equipment works .

Day time lighting is pointless

The sun is up and it’s the middle of the day in summer, why do I need stage lighting? Good question. Second, lighting isn’t used solely with the purpose of helping the audience (or performer) see in the dark, lighting can be used to enhance the show in several different ways. Whether you want to highlight a part of the show, a soloist for example, or create atmosphere, think mood lighting for a ballad or a vibrant colour show for an upbeat song. It can control the energy of the crowd, getting them ready for the arrival of a performer, or for a particularly popular song. It can enhance the atmosphere and make the crowd feel more part of the show. Don’t discount daytime lighting when planning your event.

Case Study - Biggleswade Christmas Light Switch On

Biggleswade Christmas Light Switch On – Case Study

The end of November is a busy time for us with Christmas events all taking place over a couple of days on the last weekend of the month. We’ve written a post about the Hertford Castle Christmas Market event (which you can read here) which gave you an insight into the brief and proposal we agreed for the three-day event and in this post we’re going to cover what we provided for a one day Christmas Light Switch on event.

Initial Brief

We were contacted by Biggleswade Town Council early in the summer of 2022, as they were looking for a new supplier to provide the stage and production for their Christmas light switch on event.

They were looking for a stage large enough for a 30 strong choir, a group of 20 steel drum players and a band to finish the evening. They also wanted a large sound system to cover up to 3000 people, and some lighting to enhance the whole show.

Proposal

We arranged an onsite meeting with the council representative to discuss their needs and work out what we could fit in the location. The access was wide, and the sheltered, hard standing site was perfect for our trailer stage. We recommended the 8m x 6m stage which would accommodate their performers and wouldn’t need any addition ballasting.

For the sound, we recommended one of the line array speaker systems. They have high clarity and a long throw projection. This would be provided with one of our experienced sound engineers and all the microphones and stage monitoring speakers needed.

Finally, for the lighting we recommended supplementing the pre-installed basic lighting rig (that comes with this stage unit) with some additional moving lights to make it a more intense display. In many of our moving lights we are able have projected effects, silhouettes, and pictures, so we recommended to the council that we pre-install some Christmas projections to these lights, to add even more festive cheer to the event.

As a final touch, we recommended adding some snow cannons to the top of the stage, so that as the Christmas light in the town are switched on, the band could strike up a Christmas tune and the audience would be covered in snow.

Conclusion

The council were very impressed with our proposal and booked us for the event. On the day we arrived mid-morning to setup and had the stage setup ready for the school choirs to start just after lunchtime. The main event started at 4pm and finished at 8:30pm which meant we were off site by 11pm. This was one of three events our team worked on in the same night and it went off without a hitch.

We don’t have early access to our site, is that a problem?

Earlier access to your site doesn’t have to be a problem. Our trailer stages can be set up in a fraction of the time of some of our bigger stages, this means that rigging and derigging can happen on the same day depending on event running times. Our modular staging can also be set up relatively quickly so is a great option if you’re tight on time.

We have a small budget, what are my options?

We have a several options for events with tight budgets. Whether it's booking one of our more budget friendly stages, like our modular stage, or scaling down the production size or optional extras, there’s often a solution for smaller budgets. We specialise in bespoke packages to make sure that you get what you need for your event for the right price.

Our site doesn’t have access to power, can you help?

Absolutely! We have various options available for power depending on what you will need it for. We can power just the stage and production side of the event, or we can power the whole event site if needed. Behind the Scenes at Koncept Productions

Just because summer is over, doesn’t mean to work stops. Although we’re not on the road as much over the winter months, there’s still plenty to do to keep us busy.

So what is happening behind the scenes at Koncept?

Winter is a great time for us to check our kit. We need to check for damaged and lost equipment, to ensure we have a full stock ready to go for the new season. If any of it needs replacing, we need to order it in and fix anything that requires it. Maintaining kit is a big job especially with how much it gets used throughout the summer months. It’s important to stay on top of this as damaged kit could cause health and safety issues when it is next used.

The last few months of the year are also when event organisers start to get in touch with us for the following year. There’s a lot of admin work involved at this time of year, drawing up quotes and following up on enquiries to make sure we’re filling the diary for the following year.

From a business perspective, it’s also when we plan for next year, including our marketing plan, budgeting and goal setting.

This annual event in the county town of Hertfordshire is a must for all Christmas fans. The gala, which takes place on the Friday night has been running for a number of years and is a celebration of Christmas with a performance stage, entertainment and fairground rides. The light switch on also takes place during the gala, where the streets of Hertford are alight with festive joy.

In addition, Hertford have in recent years added a Christmas market to the event which runs for the weekend. With festive stalls selling goods and food, a fairground and live entertainment throughout the afternoon, it’s the place to be.

A Case Study of the Hertford Castle Christmas Market Event

We were contacted by a long standing customer to provide a small stage with a PA system and lighting for their Christmas Market at the end of November.

The brief was to have a stage big enough for small groups of no more than four people, and sound to cover the majority of the lawn at Hertford Castle, but at background level.
The budget was relatively small for the two day event.

We immediately recommended the use of a modular stage system with a gazebo covering. It’s the most cost effective covered stage we offer and is perfect for smaller events. We chose a 5m x 3m option, which not only allows the space for four to 5 people, but also room for additional equipment and decoration.

There were several ways to approach the sound aspect for a project like this.
With the client wanting sound coverage to the whole lawn, but not being the main focus of the event, they wanted to allow people to take in the experience of looking and buying from the traders at the market whilst being able to enjoy the live entertainment as they sipped on their mulled wine.

A couple of speakers on stands would give amplification to a small band, but with limited coverage, and a lack of full range sound without turning it up. Another approach that we could’ve done was to place multiple speakers around the venue, at a much lower level, but giving ideal coverage to the whole site.

The real complication was the layout of the site. The lawn is a 50m square, with the castle building on one side and a terrace in front. The terrace area is raised from the lawn by a metre, then banked down to meet the lawn. Most events at the castle have the focal point on top of the bank facing the lawn. In this case the client had planned the same, with the stage at the top of the bank.

The lawn was then divided in two. One side had rows of chalets for the market stalls, and the other half was filled with fairground rides and food and drink vendors. The stage then pointed down the middle walkway.

This meant there would be general noise from the other activities, and a number of obstructions in the way of sound getting to the far end of the lawn.

Using multiple speakers around this site would have been a perfect solution, and worked really well, however there were a number of factors that made it difficult to implement.

Speaker placement

We often place speakers on long poles driven directly into the ground. At Herford Castle that’s not an option, as there are archaeological ruins of the old castle buildings under the lawn. Putting speakers on shorter tripod sands would have been the only option.

Cabling from the stage to each of the speakers

The lawn is accessible to the public on three sides, and there are a number of thoroughfares that cables would have to cross. We have already concluded that poles in the ground is not an option, so we can’t run the cables high.
So cable tracks across the pedestrian routes would have to be employed.

The layout of the site

The design of this site works well for the public moving around the market, but creates lots for little pockets where we would need to get sound. Meaning there would need to be many speakers needed to evenly cover the area.

This all comes at a cost, and for larger events would be worth the additional outlay, but in this situation the benefit would not outweigh the cost.

We opted for a compromise in the design of the system, provided a smaller sound rig, with speakers either side of the stage, that gave a full range sound for the bands at a lower level, yet have the power (if needed) to cover the whole site for public address announcements. We proposed this solution to the client who accepted and booked us for the event.

We find it’s important to discuss the options with our clients, and to briefly outline the complications there may be with different setups. There is nothing worse than turning up on the day with good intentions to provide the service you have quoted for, only for the client to be unhappy with what you did because they were expecting something different.

A Look Back Over our Summer of Events

The summer is finally over, Autumn has made itself comfortable and it’s a great time to have a look back over our busy summer.

From music festivals to community celebrations and weddings we’ve been working tirelessly to bring our clients top customer service and great products.

Let’s take a look back on some of the events we’ve worked on this summer.

We kicked off June with Napfest, in Naphill Buckinghamshire, by providing the stage and lighting for their annual village fete. With live music, a family fun day and classic car show, it was a great event. Our stage had some great tribute acts including Flash, These Certain People and Bad Neighbours perform on it.

We did several weddings this year, but we had a great time at this one at Pendley Manor in June. We provided the modular stage and lighting for the evening reception where a live band performed for the happy couple.

July saw the beginning of the less than favourable weather, which unfortunately hit us at the Brampton Academy International Day. Despite the rain it was a great display of culture and student performances on our trailer stage throughout the afternoon.

We took our trailer stage down to Flitwick Lodge for an event that involved some great music and a little bit of sunshine. We also provided the 6kw Line array Pa system with one of our experienced sound engineers and a power supply.

August started with another round of the Foodies festival up in Edinburgh. Our arc roof stage looked great.

After a quick set up, it was a dash back down to Hertfordshire for Rock at the Castle. Our trailer stage the centrepiece of the show with two smaller modular stages set up in other areas. We supplied sound and lighting for the main stage and sound for the two smaller ones. It was a great sunny day.

Where to Get Event Health & Safety Information

Over the years, event health and safety has been at the forefront of event manager's minds. Keeping your staff, volunteers and attendees safe is a high priority and not something that should be overlooked.

From Risk Assessments to Emergency Protocols all should be included in your Event Management Plan, but if you have no idea what one of those even is, not to worry we’re here to help.

Trying to find event health and safety information shouldn’t be hard but when you don’t know where to start it can seem quite daunting. We’ve put together a list of places you can find information to help you plan your event safely.

1. Purple Guide

This is a paid for service but it’s an incredible resource to help you plan your event. It was originally produced by the HSE but event professional all over the UK contribute to it to make it the most comprehensive guide for outdoor events. It gives you information on everything you need to know from safe wind speeds, to number of toilets needed for the size of your event. Everything in it is event specific and will tell you what is legally required and what is strongly recommended.

The guidance helps you plan a safe event with the right facilities for your attendees. The subscription is £25 +VAT per year and is updated regularly. A worthy expenditure if you are new to outdoor event planning.

2. HSE (Health & Safety Executive)

The Health and Safety Executive is national regulator for workplace health and safety. This website is free and covers every aspect of health and safety in the workplace, not just events. It gives you the legal requirements for events and a lot of information on writing Risk Assessments.

There’s a lot of information on how to keep your workers and volunteers safe and things you need to put in place to ensure they feel safe during your event. It’s a great resource but can sometimes be overwhelming because of the amount of information available.

3. Local SAG group

Safety Advisory Groups are at Local Authority level, they are comprised of leaders in emergency services, such as police, fire, ambulance, but also licensing and environmental health. They are made up of a group of people who have a wealth of knowledge and experience in their designated field and are a great resource for helping you plan a safe event.

They are non-statutory bodies who do not have legal power or responsibility. They can’t approve or prohibit events taking place but they provide guidance on your safety plans and protocols. If you are organising a particularly large event, it’s important to notify them of your event so they can coordinate their resourcing for the event day but also, provide them with your Event Management Plan so they can review it and help improve it if they feel the need to do so.

4. Contractors

Contractors such as security, staging, sanitary facilities etc will not only be responsible for their own health and safety requirements but will also be able to help you with the overall event safety in their specialist topic. Your security firm can help with emergency protocols, evacuations, and lost children policies. Your staging provider can give you information on safe wind speeds and crowd safety around the stage. Your sanitary facilities provider can help with safe distances and chemical usages. Tap into their knowledge when planning your event to help make it as safe as possible.

5. Blog posts from reputable sources

The internet is rife with misinformation, so it’s important to make sure that what you are reading is from a reputable source, but there’s lots of great blog posts that can give you information, learn from other people’s mistakes and experiences. Health and Safety is one of those things that goes largely unnoticed until something happens. Without a plan, you could be in a whole world of trouble as the event organiser is responsible for the event. Make sure you are covered and have a plan in place in case something does happen, just in case.

Our Summer Recap so Far

It’s been a busy few months over here and we’ve been on the road more than we’ve been at home. This, of course, is a great thing because it means we’re doing what we love, bringing live music to events all over the country. We’ve attended lots of different events, some requiring a small stage, others a much larger set up and we thought it’d be cool to show you the variety of events we attend and how we can help with your event requirements.

Weddings

We’ve attended a couple of weddings over the last few months with our modular stage. Some we’ve provided just the stage others we’ve provided the whole kit and kaboodle, sound and lighting. We’ve been to manor houses, barns and even outdoor weddings, and helped happy couples have the reception of their dreams with live music.

Summer Fairs

June and July are prime months for summer fairs, before the schools break up and people dash off on holiday, local groups and organisations have been organising summer fêtes left right and centre. We’ve been lucky enough to attend a few, like the Stotfold steam fair (which we wrote a little review about on the blog). We didn’t provide the stage on this occasion but our sound engineer attended with a sound system and lighting solution for their beer tent.

Community Events

Another type of event we’ve attended a lot are community events. This year we provided a sound system for the main stage at the Hertford Castle Beer & World Food Festival and a small modular stage with a sound system in their other event space. We offer bespoke solutions for our customers so were able to accommodate the clients requirements to ensure the products met their needs.

Church Music Festivals

Community halls and churches are the perfect venue for small music events. When they don’t come equipped with stages, we’re here to help you. We took our modular stage, which was hired for the week to the Ashwell Music Festival where it was set up in this lovely church.

School Events

These events are becoming increasingly popular, schools putting on fundraising events for their students and their parents or leavers do’s, often to showcase the arts and performances the students have been working so hard on. We attended one at the beginning of July with our trailer stage and although the sun didn’t make an appearance it was a great day and a great way for schools to bring the community together. We also took our inflatable roof trailer stage to another leavers party event at the end of June.

Music Festivals

For every smaller event we attend, a larger one laid in its wake. With thousands of people in the audience, to stars on stage like Natalie Imbruglia, our larger stages have been the most popular this season. From huge food festivals, to evening music festivals they’ve seen it all and we’ve enjoyed every minute of it.

Halloween Steampunk Market

This would make a great community event, theme your monthly markets to make is spookier and kookier by having some steampunk elements. Although not strictly Halloween, Steampunk is a sub-genre of science fiction inspired by the 19 ^th century steam-powered machinery and evokes a fantasy world. It’s a cool way to join in with the season without it being strictly Halloween-y.

Drive in Scary Movie

Everyone loves a scary movie, so what would be better than hosting a scary movie drive in. Better than an open air in case the weather is off but still bringing that Halloween feel.

Scarecrow Festival

Again, not strictly Halloween but very in season. Get local businesses or residents to put scarecrows on display and organise a trail. Or host it at a local farm and have warm apple cider, apple bobbing and pumpkin carving as well. Maybe a stage with some acoustic music and some kids activities.

Ceremony platform

You may be at the front of the aisle but can everyone see you? Can everyone see the beautiful dress you chose, the celebrant and the groom? Putting up a stage is hard work and requires a lot of care and attention to ensure it has been erected correctly and safely.

With many things to consider, including ground variations, environmental factors and event site plans, putting up a stage is never straight forward. It requires a team of experienced and professional crew who can deal with all eventualities to ensure the structure, crew, audience and performers are all safe.

We start with building the frame, from the top down. Then add the lights and the waterproof canopy.

The sides and back are added before the structure is hoisted up, ready to put the legs on it. The tethers are banged into the ground and the cables attached to the lighting.

Now the structure is up and stable, it’s time to add the decking in. This is separate to the roof structure and needs to be levelled out to ensure the whole surface is flat.

Once this is done the safety railings go on the sides and the steps are added.

It’s a simple step by step set up but if not done correctly or in the right order it could add time to the installation and could jeopardise safety.

Bring some French flair to your event with a cabaret night. Offer dinner and a show, with acting, singing and comedy. Have themed drinks for the evening and let your audience enjoy an evening with friends at the cross between a concert and a musical.

The great thing about square dancing or line dancing is that it’s easy to pick up. Hire in a caller for the evening, put on a buffet for the guests and let the dancing be the entertainment. Popular with both young and old people, it’s sure to be a popular event.

Bring in local traders and crafts people to put on a fair. Charge traders by the table and maybe an entry fee and see your space fill up with customers. Have a bar open, maybe some food available for purchase and live entertainment as for atmosphere.

Stotfold Mill Event

A recap of the Stotfold Mill Steam Fair Event

In the middle of May, we had to pleasure again of attending the Stotfold Mill Steam Fair, that takes place at Stotfold Mill in Bedfordshire. This event has been running for 19 years and is one of the most popular events in Central Bedfordshire.

It attracts thousands of visitors over the weekend, combining the wonders of steam power and family entertainment. All in support of the mill and keeping it open for visitors to visit free of charge the rest of the year.

The main arena hosted a variety of displays, including the Swords of Penda – The Children of Loki a re-enactment group, The Rockets a group of young stunt performers, and Flyin’ Ryan , a high-octane stunt rider.

There were stalls from local organisations, craft vendors and charities, as well as an array of food and drink available. Let’s not forget the beer tent which hosted an array of live music.

This is where we were set up, providing the sound and lighting for all shows across both days. With performers such as the Highlands, Folk like Us and Abacus and rock bands Henlow Hurricanes and Straight Outta Fordham, there was plenty to keep the crowds entertained.

For the family, there was a fun fair with helter-skelter, bumper cars and so much more and a family fun area with free inflatables from toddlers to teenagers.

Not forgetting the most important, the steam engines that were on display.

It was a great day out and we enjoyed being a part of it again.

Coming up with a theme for your event isn’t always as easy as it sounds. You need something you’re sure will sell but that also hasn’t been overdone.

1. Food & Drink

You can’t go too wrong when combining food and/or drink at your event. If you theme your festival around these elements, you’re sure to bring in a crowd. A Day in the Life of the Production Team

What does a day in the life of our production team look like?

A day in the life of the production team for a one-day event, where we are supplying one of our trailer stages, along with a PA system and stage lighting.

Generally, we load our vans and trucks the day before an event, so on the day, we only have to arrive at the warehouse about half an hour before we have to leave.

We then double check our packing list to ensure everything has been loaded. We’ll make sure the vehicles and generators are fuelled and we’ll complete our walk around check. If trailers are being taken, we’ll hook up and prepare to leave.

Depending on the location of the event, we may need to travel the day before to comply with truck driving regulations and working hours, because safety comes first.

When we arrive on at the event site, one of the team will meet with the event organisers and confirm the location of the stage. We then drive the stage trailer into position.

All our stage trailers are raised off their wheels to create a solid structure, so the first job is to drop the main supporting legs and get that section of the stage decking raised and levelled. Both sides of the trailer are then dropped down. One side to make the front decking of the stage and the other to make the rear. These are then both levelled to make the solid base of the stage.

Depending on how many crew we have allocated to the event, the sound team would then normally start positioning speaker while the stage team finish setting up the stage.

The sound is probably the most involved part of the operation for the day. Some events require up to forty microphones or sound sources on stage, so there can be a lot to set up. We normally make sure the client has given us a full technical specification for the acts that are performing, so this is the time where we check the specification and make sure we are preparing for all the performers needs.

The sound team will set up the main front of house speakers and position all of the on-stage monitor speakers, then start placing mic stands where they are needed. The sound engineer will position the main mixing console in a tent (normally about 20 metres in front of the stage) and start assigning which microphones and sound sources to which channels on the mixing console. They will then communicate this to the sound crew on stage to start plugging microphones into the right channels.

Once these are all plugged in, we test each channel, one at a time, and do preliminary sound checks on them.

By this time the stage team have normally moved on the finalising the lighting for the stage. Our trailer stages come pre-rigged with a basic lighting rig, so the team will test this and add any additional lighting effects that the customer has requested.

We are then ready for the first acts to arrive. It’s not uncommon for performers to arrive, setup and go straight on. Our experienced team are ready for this and can handle the high pressure of getting a balanced sound within the first few minutes of a performance. But if the time allows, we will try to sound check bands before the event opens to the public, for a nice, polished sound for show time.

During the show the sound engineer makes sure it sounds amazing, and the lighting operator makes the stage looks stunning. The rest of the team are there to help with the performers and ensure the event runs smoothly.

At the end of the show, we do everything in reverse. There can be a lot of cabling to pack up, but we always put everything back in the flight cases as tidy as we found it, because believe it or not, the same system and even the same crew could be out at another event the very next day.

The Ultimate Guide to Organising an Outdoor Event

Outdoor events are the spine of British summertime entertainment. Green fields, muddy boots, big stages, and great music. Pints of beer or cider, camping and portaloos. A Mister Whippy in the local park while a brass band plays. Memories are made in moments like this but behind the event is an Event Manager who has spent months meticulously pulling all of these elements together.

If you’re setting out on your own outdoor event adventure, then we’re here to help you with our step-by-step guide to organising an outdoor event.

Knowledge is power and planning ahead will help you minimise the stress on the day, leaving you free to deal with anything that pops up unexpectedly during the event.

First, you’ll need an idea and a location to hold the event. Once you’ve got those, you’re ready to get down to the nitty gritty. Here are six steps you will need to take or consider to get started.

Timeline

Mark out your timeline. How many months, weeks, days do you have until the event? Write out each important task and then set yourself deadlines for each of them so that it all gets done before the event rolls around. This keeps you on track with your planning, ensuring nothing falls through the cracks.

Budget

This is arguably one of the most important things to do. The last thing you want is to make a loss on your event and have to find hundreds, if not thousands to pay off your suppliers at the end of it. Listing everything you will need to pay out for beforehand and looking at where your income is coming from (tickets, funding, sponsorship etc) will give you a rough idea on what you can afford (and what you can’t).

Licences

Depending on where your event is being held and what type of entertainment you have, you may be required to get some licences. Don’t skip this step. Contact your local authority to discuss your event and see what licences you will need to apply for. This may be a premises licence (if your venue doesn’t already have one), TEN’s (Temporary Events Notice), market licence etc. It’s better to be safe than have your event shut down halfway through it. You will also need to notify the Safety Advisory Group of your event.

Hired Equipment and Services

As an event planner, it’s your job to bring everything together at one location on a specific day so that your guests can have a great time. You’ll need to consider security, toilet facilities, food and drink vendors, entertainers, staging, sound, lighting and power. How will be people be getting there, do you need to have a managed car park by stewards.

All of these things will need to be hired in to ensure the event runs as smoothly as possible. It’s important to get not only companies that fit in your budget, but that also have the knowledge and experience to run a safe operation. Checking your traders and contractors’ health and safety certificates and procedures is important as the liability of the event is yours. The last thing you want is for costly disasters to happen because you haven’t hired reputable contractors and equipment.

Staffing and Volunteers

Chances are you’re organising this event alone or with a small group of people. Possibly not enough to manage your event site safely. With routine checks and jobs to do throughout the event, you don’t want to be tied up replenishing the toilets, or litter picking when there will be other things coming up that you’ll need to deal with. Therefore, getting a good team of staff/volunteers behind you is crucial. There are companies that provide event staff, or you could advertise locally for volunteers, especially if this is a charity event. You will no doubt need to carry out training for these new members of your team, including all evacuation procedures and emergency protocols, so don’t leave this till the last minute.

Marketing

You’ve got everything in hand behind the scenes but now you need to make sure that people are going to come to your event. Whether you’re selling tickets, or your event is free, a key to its success is making sure people come and enjoy it. Having a marketing plan (and budget!) will go a long way in getting the word out about your event. Free listing sites like Eventbrite are a good place to start but also local print and media. Social media and word of mouth can also be very helpful. Design your posters, your flyers and your banners and get shouting about your event.

A Guide to Stage Speakers

Speakers and Amplifiers: a brief insight

There are lots of different types of speakers for lots of different jobs, but these are three main types that we can generalise for stage shows.

Full range speakers

These are the main driving force of the Front of House PA system. They produce the high frequencies down to the mid/low frequencies in the sound spectrum. We have point source full range speakers and Line Array full range speakers.

Point source is basically where we point the speakers in the direction we want the sound to travel, and add extra speakers if we need to cover a wider area.

Line Array system work a little differently. We hang (or stack) one speaker on top of another. This close coupling effect works to produce a controllable wall of sound. The more speaker boxes we couple together the more the coupling effect works to spread the sound out in a linier fashion and the more the sound is projected forward.
There is a lot of science to it, but it means we can control more effectively where the sound travels to.

Sub-Bass Speakers

These are used in conjunction with full range speakers in larger PA systems. These speakers are dedicated to the production of really low frequency sounds that the full range speakers find hard to produce at high volumes. If you have ever been to a concert and felt the chest thumping bass, then it’s these speakers you are feeling.

Stage monitor speakers

Stage monitor speaker are the one you see pointing back at the band so they can hear what is going on. These are normally very similar to the full range speakers but are a wedge shape, to ensure the speakers face up at the band from the floor. Generally, each member of the band will have one, although larger bands share between them. Each of these speakers has a different signal than the next, and the sound engineer can control which sound sources (Microphones, instruments, etc) are sent to each speaker, as different members of the band will want to hear different things.

Most amplifiers in a sound system work in the same way. Some are built into the speakers themselves and some are separate from the speakers, but for any speaker to work it must have an amplifier. The only real difference between amplifiers is the amount of power it produces and the number of separate channels it has.

Sub-Bass speakers take the most power from an amplifier, so we generally have quite powerful amplifiers to power them, and generally one amplifier channel per speaker.

Full range speakers also take quite a bit of power, but we do often pair speakers together on one amplifier channel, especially in line array systems.

Stage monitor speakers would normally have one channel each, as we need to send different signals to each one.

We split the sound between the full range speakers and the Sub-Bass speakers using a processor called a cross-over. The crossover stops the really low frequencies sound from being sent to the full range speakers and stops the high and mid frequencies from being sent to the sub-bass frequencies. This stops any of the speakers from being damaged by having the wrong frequency sounds going through them, but also makes a nicer sound with each frequency of sound only coming from one place. Otherwise the sound can get a bit muddy.

There is a lot more to a sound systems than this, but this is a basic overview.

With the summer period filling up with events it might be time to expand and think of Spring as the new summer.

Yes, traditionally the weather has not been so good in April/May as it normally is in the summer months, but we are in the UK after all, so there is never any guarantee that the weather is going to be good at any point.

After the winter months, people are looking to get out and about, find their feet back outside and start to enjoy events. Why not capitalise on that and plan your event for April or May, getting a bigger slice of the audience and with the longer and sunnier days that aren’t too hot, it might just be the perfect time to host your event.

Why not lean into the religious holidays that take place around that time to theme your event. Whether it’s Easter, Passover, Ramadan or Eid, you can organise a festival that suits your audience in April and May. Just like Northampton Eid Manegament Group who have organised Eid Festival in Becket’s Park, sponsored by Northampton Town Council. A community event with activities for the whole family with rides, bouncy castle, and pop up stalls, along with a stage and live entertainment.

Spring fairs and festivals are also a great theme for any events taking place at this time of year. Leighton Linslade Town Council are hosting the Mayor’s Spring Fair with a petting farm, crafts, local produce stalls and other taster sessions. What a fun way to celebrate the new season and everything that’s great about it.

It's always a good time for food so why not host a foodies event in spring, focusing on seasonal produce maybe. Just like Foodies festival who kick off their season with their first event in Brighton in April, or Pub in the Park who start their season in Wimbledon in the middle of May and the Great British Food Festival who are in Trentham Gardens, Staffordshire, at the end of April before moving onto Barton Constable, Hull, in May.

Or you could host a music afternoon locally to get people out and about, enjoying the fresh air. Just ilke the Fake Festiva l in Bedford which takes place at the end of May. Or if you’re thinking a bit smaller, why not host smaller band concert in the local park, like Northampton Town Council who host the Bands in the Park at the Abingdon Park Bandstand from the 16 ^th April until the 24 ^th September. Be it a brass band concert, an acoustic singer or a full band there’s a way to bring a little bit of joy to the community through these special events.

With all these fresh ideas, there’s no reason to not expand your event season and make spring the new summer.

Meet the new member of our fleet

Brand new for 2023, Koncept Productions has expanded its fleet of stages by adding this unique 6m octagonal bandstand. This mobile structure is available to hire for all of your outdoor events and is the perfect stage for all round viewing.

Whether you are organising a brass band concert in the park or need an additional stage for your festival, the bandstand is a great choice. With its unique design and coloured canopy, it’s hard to miss at any event.

Traditional in style it offers 360-degree views of the performance area, and is perfect for event sites where vehicle access is restricted. With a quick set up of an hour and a half to two hours, it’s a great option for when access to event sites can only be on the day of the event but it’s also a good option for multi-day events as the reduced daily, cost compared to our trailer stages, makes it worthwhile.

It comes with a weatherproof canopy with heavy duty structure, all round skirting and one set of stairs. The stage is 6m wide in an octagonal shape and is viewable from all directions. A step by step guide to wedding lighting

At Koncept Productions, we have over 20 years’ experience of providing technical support at weddings and conferences. Our job is to make your day as spectacular and memorable as you hoped it would be from providing staging for your band, sound equipment for speeches, music and entertainment and of course, lighting. We think lighting is the most underrated ways of decorating your venue.

Lighting is both functional and decorative , it can help set the mood of the event and show off every detail you worked so hard to put in place. That’s why we think it should be top of your wedding décor checklist.

Easier said than done though, when you don’t know where to start, or you don't know the difference between Parcans and Blinders. But fear not, we’re here to help you. Everything from keywords to inspiration and ideas , this post has got you covered.

Different Types of Lights

Uplighters

One of the most popular types of lighting for a wedding, used effectively around the walls of your venue to create colour and atmosphere.

Parcans

A basic form of lighting that creates a beam of white or coloured light. These are normally found lighting a stage, but can be just as effective lighting a room or the exterior of a building.

Flood lights

A basic form of light that is normally uncontrolled and spreads white light across a large area. By adding coloured filters to them we can change their effect, lighting trees, buildings and features at the venue.

Pea Lights

These are a cross between festoon's and Christmas fairy lights. They are log strings of very small bulbs space close together. These can be wrapped around trees and bushes, or to backlight drapes and stage sets. A simple yet effective way of adding atmosphere with light.

Festoon Lighting

Festoon's are a long string of bulbs hanging from a wire which are generally found lighting the outside of a venue. These create a festival atmosphere and are a cost effecive way of lighting large outdoor spaces.

Moving Head Lights

These effects lights area normally found around the stage or DJ at weddings. They can create numerous different colours, project shapes and patterns, and of course move the beams of light around the room.

Blinders

These are the bright lights you find on a stage, pointing back towards the audience, creating a blinding effect.

What to think about when considering your lighting choices?

When we are contacted by a couple who want to hire our services for their wedding, we ask some questions to get a feel for what their wedding will be like. This important information can help us guide them on their choices and make sure that what we provide is suitable for their special day.

Where is the wedding taking place? (Hotel, marquee, community hall, etc)?

Knowing the style of the venue can help us get a clear visual for the style of the event. It also helps us gathering important practical information, like how high the ceilings will be? Where we can hang/position lighting? It tells us how big the space is and how much equipment we will need.

What is your theme?

Is it a colour, a feel or a visual theme? We can often design our lighting systems around particular colours and even have projected effects and images to match with the theme of your event.

Are there any special moments, or things you want to draw attention to?

What is important to you as a couple, what have you worked hard to pull together for your guests that you don’t want them to miss it. The top table, centrepieces, or the stage?

Any other decorations?

The beauty of great lighting is that it can act as decoration, covering large spaces with colour or effects that bring your event to life. If this is you primary source of decoration we want to know, equally, if you’ve got other elements planned, we want to be able to enhance those for you.

Indoor and outdoor wedding lighting

Depending on where you plan on having your ceremony and your reception, you will need different options of lighting available to you. If you are getting married outdoors and sunset, you won’t need the same lighting as you would if you ceremony is inside. The time of day, the location and the vibe of the wedding will all impact your lighting choices.

For indoor lighting

First off, it’s good to know what lighting already exists in the venue and how that can work for you. You can then add to it or work around it depending what atmosphere you are looking to create. Uplighters are great for highlighting architectural features or changing the colours on the walls to match you theme. Colour washing will create different moods throughout your venue. If you want the personal touch, we can even create customised projected lettering and images on the walls and ceiling of the venue. There are so many options available, work with us to find out what will work best for your special day.

For outdoor lighting

The biggest problem with outdoor lighting is the power supply (luckily we have qualified electricians on site and generators available to hire if needed) but the options are endless. Whether you want to light pathways to the venue, in the car park or to the facilities. From wrapping trees in hundreds of Pea Lights, to running lengths of festoon lighting, and flood lighting the outside of a building in your chosen colours. There are numerous ways we can transform the outside space and bring it to life with light.

A couple of other ways you can add lighting and mood to your wedding is by DIY some of it, the more personal touches, illuminating tables for example or the bar without using big lights. You could use, battery operated candles, festoon lighting, fairy lights, chandeliers or neon signs.

From the initial enquiry we often get asked the same questions so we're here to answer them for you.

Where do you deliver/cover?

We deliver free within 40 miles of Stevenage, but we cover the whole of the UK. We regularly cover events in Hertfordshire, Bedfordshire, and Buckinghamshire, but also Cambridgeshire. We have a number of contracts that take us all over the UK, so nowhere is too far for us.

Safety information

At Koncept Productions we take health and safety very seriously, so all our stages are provided with full documentation, and we sign off every structure once erected. For events over two or more days we carry out a visual inspection of the structure before we allow it to be used each day.

We follow strict guidelines to ensure the safety of the public and the performers. All our stages come with wind speed and direction measurement equipment to allow us to monitor the weather conditions.

Do you offer discounts for regular hires?

The short answer is yes. We do offer discounts for regular hires. We offer special discounts for clients who hire us more than once during a year and then have more competitive rates for clients looking to hire up for a large number of events, otherwise known as contract hire (link to page).

Do your stage offer weather protection?

Living in the UK means inclement weather is a high possibility at any outdoor event. A contingency plan is always needed just in case and our stages provide excellent protection for rain and sun. Both our inflatable stage canopy and our truss structured stages have waterproof linings to ensure a wet day is not going to spoil the show. Our PA systems work outdoors in any weather, so as long as the crowd is still there, the music keeps playing.

I have a tight access to my site, you will be able to get a stage in?

Site access is a big consideration when deciding the type of stage you will hire. Although most of our stages are great for smaller access points, it’s important to have the facts when you are booking with us. We will need to know the width of the access if it is restricted so we can assess which stage will fit through, how long it will take to get the equipment on site and set it up. But a tight access doesn’t necessarily mean no stage, so contact us with more information and we can let you know what will work for your event.

I only have access to the site on the event day, will that work?

No problem, most of our stages can be set up in the morning and taken down after the event has finished. Our trailer stages(link) are the easiest to do this with as they can be set up in as little as 45 minutes. But bear in mind, this is just for the stage, any additional lighting or PA systems will also need to be set up.

We're going to take a deep dive into an event we work on yearly and give you an insight into the brief, what we provided and the customers response.

Client: Vision Redbridge

Location: Barley Lane Park, Redbridge

Event: Community Fete

Services Provided: Stage , Sound & Lighting

Overview

We were initially contacted back in April 2015 by the Events Officer at Vision Redbridge, a non-profit company that provide leisure and cultural services in Redbridge and the surrounding area of east London.

They had a reoccurring event, that had run for several years and had previously used another contractor to provide the stage and production for the event. Having found the service becoming increasingly expensive and not meeting their needs, they found us through a Google search. They were looking for a new contractor to provide the stage and production for their event in July 2015.

The Brief

Vision Redbridge were looking for a stage to accommodate a programme of various performers and announcements, a sound system that could accommodate the aforementioned and some lighting to enhance the performances.

The event was to run for one day, during the daytime in a local park.

After discussions with the client and getting further information about the type of performances planned, which included groups of dancers from several different cultures, choirs and groups of local musicians and the event site, which had a width of around 40m, and length of around 200m. There were extra requirements we needed to work with.

The client also wanted a bit of lighting to jazz up the stage a little.

Our Solution

The most cost effect solution for staging large enough to accommodate groups of up to 10 dancers and choirs of up to 30 people would be a trailer stage . For this event we recommended our 6m x 5m trailer stage with inflatable canopy. This has a build time of under 45 minutes and offers a bright open performance space, ideal for daytime events.

The primary purpose of the sound was for the stage performances, but also to amplify announcements across the length of the showground. This venue being the size it was meant we needed to have quite a throw for the sound, without it being overpowering for the people at the front.

We recommended a ground stacked sound system of 6kw, made up of EAW horn-loaded speakers, with matching sub-bass speakers. The EAW horn-loaded speakers take a relatively low volume sound to throw it a longer distance than conventional speakers. This means the people at the front don’t get deafened, but the people midway down the showground still get the clarity of the announcements.

We offered the client the option to have speakers further down the site, to ensure the people at the back would hear as well, but they were happy to have the far end as a quite zone.

One of our experienced sound engineers worked the whole event, operating the sound system to ensure it continued to provide the quality of sound needed throughout the event.

This sound system incorporated two hand-held radio microphones, 10 vocal and instrument mics on the stage, and several direct connections for instruments, MP3 players and laptops.

We also provide two stage monitor speakers to enable the performers to hear themselves.

Finally, we provided a lighting system of 12 multicoloured Parcans on the stage, with most of them pointing back at the audience. This created an additional energy to enhance the performances and get the crowd on their feet and enjoy the day. They were perfect for an outdoor daytime event.

Logistics

This whole system, along with the two crew, was transported to site in one 7.5 tonne lorry towing the stage trailer.

Once onsite and positioned we were set up and ready for the show in a little under 2 hours. We then stayed for the day and operated the sound and lighting during the event.

We had the system packed away and on the road in less than 2 hours after the event finished.

How Special Effects Can Enhance Your Event

Let's talk about how Special Effects can enhance your event

You’ve arranged your stage, sound and lighting company, your contractor is booked to manage the power and you have a great line-up of talent. So all the important stuff has been considered, but there are still few things that could enhance the event.

There are numerous special effects that can make a show larger than life. From purely visual atmospheric effects (like haze and smoke ), then interactive effects like snow and bubbles, through to immersive effects like pyrotechnics , confetti and fireworks. The whole point of these products is to add a fourth dimension to the performances.

Atmospheric Effects

Atmospheric effects are normally in the form of some sort of airborne smoke effect. This can either be an almost invisible haze that the beams of light bounce off so you can see their movements, or something thicker to create a more intense effect. It can even be a dry ice effect that looks like a thick smoke hugging the floor.

Although commonly known as smoke, they are mostly water based fluids that are heated or cooled in machines to produce the effect, but some require refrigerated CO2 Pellets.

Virtually all these effects can be used for outdoor events, but careful consideration has to be given to any wind that may be expected.

A variation of a smoke effect can be the Jet!
These are normally seen as a fast-moving vertical stream of smoke, that disappears quite rapidly. In most cases several are used at the same time across the stage for dramatic effect.
These can either be a pure CO2 gas, or a simulated water based effect.

Snow and Bubbles

These effects are commonly used at family events (especially Christmas ), the kids just like being able to touch them. We even offer smoke filled bubbles, that release a puff of smoke when they burst. In small measures these effects are super fun and a great addition to the show.

Just be aware the fluids are similar to washing-up liquid, so when they are overused the ground can become slippery.

Confetti and streamers

Confetti and streamers have been a popular effect for all types of event. For stage use we offer charge based “cannon” systems that fire biodegradable paper and metallic confetti into the air and slowly fall back to the ground. Our control systems allow multiple cannons to launch simultaneously or in a sequence, creating a huge effect.

Pyrotechnics and Cold Spark Effects

Pyrotechnics are a kind of firework, and the term does include fireworks, but in stage terms pyrotechnics are a smaller more controlled effect, with some being safe for use in close proximity to people. They come in everything, from a puff of coloured smoke to high reaching flame effects and can also include loud bangs and explosions.

It is important to ensure that any pyrotechnics are planned properly and used safely. We always recommend you employ trained professionals to supply and operate your pyrotechnics. We recommend you look for ASP ( Association of Stage Pyrotechnicians ) registered contractors, who have had to prove they understand the risks and safety measures needed for safe use. As you would expect, our crew are registered members.

Cold sparking effects are a little safer when used in sensitive spaces and close proximity to performers and the public. These are generally in the form of vertical spark like effects and simultaneously produced for multiple locations. The effect is cold enough you can put your hand in the spark stream.

Flame effects

These effects use real flames and need to be supplied by specialist companies. We have partner companies that can offer these effects, but we don’t stock them ourselves. These are some of the most high-risk effects, but in equal measure are stunning to look at.

Fireworks

Again, fireworks have some of the highest risks associated with them, but the displays can be awe-inspiring. Like the flame effects, you really need to employ a specialist company that have experience in production displays for your size of event.
If you’d like fireworks at our event, expect to spend sensible money. The effects themselves aren’t cheap, and the contractor’s skill and experience is priceless.

Our Top Ideas for Customising your Stage

When you hire a stage for your event, it doesn’t have to look like it’s come straight from the factory. Customising your stage is a great opportunity to enhance your brand or the brand of your event.

We’ve come up with a list of things you can do to customise your stage to suit your event.

Banners

One way to expose your audience to your brand is with banners. Design a backdrop to hang or use the PA wings to have banners on the sides too.

Below you will see great ways our clients have used the space available for banners to customise their stage. Their brand and feel for the event is instantly recognisable and the use of banners is very effective.

Branded Gazebo top

Our modular stage can come with a gazebo for weatherproofing. These are usually black but why not use your own branded gazebo. This would ensure your logo and company are in plain sight for everyone staring at the stage. Not an opportunity to miss.

Lights

If you’re having a musical performance, you may already have thought of this because lights add atmosphere and evoke emotions. Having a compelling light show, specifically for your event can really highlight the performance but you can also add other types of lighting.

Fairy lights look great and add a whimsical feel, they also work well for Christmas. Light up letters and lit Christmas trees are also a good option.

Coloured skirts

Each stage comes with a black skirt that goes around the bottom of the stage, but you could switch it up and use a coloured skirt instead. You can coordinate it to the rest of your event and help get your message across. For example, if you are running an eco-festival, why not make it green. Or if it’s a toddler event a bright orange or red would look great and eye catching.

Decorations

You can also decorate the stage, like you would any venue. You could add drapes, lanterns, garlands, flags and bunting to the stage. Pick the colours that match the theme of your event or even add your company’s brand for an extra dose of exposure.

Add a screen

This is a costly option, but it might be perfect for your event. Adding a screen to either replay the live action so more people can see the performance or to display graphics, logos and branding will add a whole new dimension to your show. It will also make it standout and be more memorable for the audience.

Add Props

This option is similar to our last idea, but you can use props to decorate the stage to enhance the theme and really make the stage pop. Designed boards installed in front of the stage

Finally, if you want to really push the boat out, you can change the shape of the stage by adding designed, branded or simply creative boards in front of the stage. Think theatre scenery that’s been designed to fit around the stage area.

Meet Koncept's Director - Martin Ruff

Our team have a wealth of knowledge and experience from over 25 years in the industry. Let’s have a closer look at the man that runs the show, Martin Ruff.

Martin is an experienced sound engineer , Class 1 HGV driver and qualified electrician, he has worked in west-end and regional theatres and has now worked on over 800 indoor and outdoor productions with Koncept Productions. His main role is to take care of the office ensuring event organisers needs are looked after and he also is on hand to set up and run event days. If you book with us, you are more than likely to see Martin there.

We’ve asked Martin a couple of questions to get to know him better.

What was your first job?

After leaving school, I attended sound engineering college 3 days a week. On my off days I was a carpet fitter. My first entertainment industry job was sound No.3 on Grease the Musical at the Dominion Theatre , London.

What’s on your career bucket list?

Running my own business was always a goal, which was initially fulfilled in the late 90’s when I founded Koncept Productions. Now my goals are to expand the company to provide the best value professional production to more clients.

What’s the worst job you’ve ever had, and what did you learn from it?

I have only really done jobs I enjoyed, but I did run a T-Shirt Printing business for a few years, and I found that an office bound job was really not for me. I learnt I enjoyed the great outdoor too much, which is probably why we now specialise in outdoor events.

What's the vision for Koncept Productions?

Koncept Productions has been growing since its conception back in the mid 90’s. We continue to grow the company with more staff and the latest equipment to keep us competitive in the market.

Can you tell us about some of your favourite products that you stock?

We have so much equipment, it's difficult to find a favorite. As a sound engineer, I do like digital mixing desks . One of my favourites for value and features has to be the Behringer Wing . This mixing desk is low on a lot of peoples list of “Must Haves” as it’s made by a budget manufacture, but for features, sound quality and list of features, this is a great desk for live sound.

Any wish list products you'd love to have?

There are still a lot of products on my wish list, as the range of equipment we supplies is so diverse. However, I would love to get some of our own D&B speakers to add to the collection.

The best event you've ever worked on?

My days working in the West End were unforgettable, but we have worked thousands of events with Koncept too. Some of the best events are the smaller ones, working for the communities across the country.

What TV show have you binged recently?

One month into the new year and we are busy little bees behind the scenes. There may not be any events on the calendar at the moment but that doesn’t mean the work stops.

We’ve been spending a lot of time at the warehouse despite the freezing cold weather working on our asset management and implementing a new management system which the whole team are excited to use. It will help us deliver an even more seamless service and will help us with the behind the scenes organisation.

Big on our to do list this year is to get a marketing plan in place and initiated. Reaching more customers and helping more people bring great events to a town near you is high on our agenda. The Importance of Power Management at Events

Understanding the power needs for your show is an important part of event planning.

All electrical installations in the England and Wales (temporary or permanent) are governed by the British Standards Wiring Regulations (BS7671). It comes down to careful planning, as even the use of one small generator comes with its own set of regulations. Ensuring the power on your showground is safe is paramount or you can face legal consequences if you get it wrong.

You may not think that connecting a flood light or a kettle to a portable generator constitutes an electrical installation, but it does and must be done in a way that complies with the regulations.

If someone should get hurt by any electrical equipment at a public event, the event organisers can find themselves in court.

You may choose to pass the responsibility onto each trader and service provider to procure their own power and connect it safely.

If you choose to do this then you must ensure you obtain the correct paperwork from each and every trader and services provider, stating their equipment is safe for use and has been tested. This may be in the form of PAT ( Portable Appliance Test ) certificates or electrical installation test certificates. Without these documents you may find yourself liable for any accidents involving the electric on the site.

Many event organisers employ contractors to plan and manage the site power for them. This way you transfer much of the legal responsibilities to them. Although it comes at a cost, it also comes with so many benefits.

An event power management contractor will not only be qualified in BS7671 ( The Wiring Regulations ) but also BS7909 ( Temporary Power Systems ). BS7909 is a British Standard written specifically for the use of electrical installations for temporary events, and ensures electricians interpret the requirements of the Wiring Regulations correctly for both indoor and outdoor use.

Your Power Management Contractor will request the power requirements from each and every trader and services provider. Don’t forget that you may need power yourselves for charging two-way radios and powering laptops, etc.

The contractor will then formulate a plan for how many generators are needed (or using local power that may be available) and how to distribute it safely.

Power Distribution

Designing a power distribution system is an art in itself, and requires careful calculations to ensure suitable cables and connection boxes are used. But in addition, all this cabling and equipment needs to be safe around the public. From running cables in locations that the public can’t trip on them to ensuring proper earthing has been established should there be a fault.

But by far the most important part of installing the electrical installation process is final testing and certification. The testing will prove the installation is safe and the certification proves the testing has been done.

Testing is not just making sure a socket has power, it is a series of measurements that are taken by an electrician with calibrated test equipment that analyse each circuit in the installation. As long as the results of these tests are within the required parameters then the circuit will pass.

This testing should be completed on every circuit of every electrical installation, even if it is just a flood light or kettle plugged into a generator.

Who offers this service?

We do. Our team includes registered electricians qualified in BS7671 and BS7909. In fact, we take responsibility for our own power distribution for every stage we supply sound and lighting for, even when we are not the main electrical contractor onsite. This is because these production systems on a stage may have upwards of 100 electrical connections. The main contractor may not be able to access and test everything. We can provide the electrical certification for our part of the electrical installation at any event we attend.

The most important thing to look for when choosing you electrical contractor for your event is that they are qualified and experienced in both BS7671 and BS7909. There are very few contractors in the UK with knowledge of BS7909, and without it you could be putting you and your event at risk.

Don’t forget, as an event organiser, it is your responsibility to ensure the electrics are safe and certified. If you can’t do this yourself then get the professionals.

Once you've decided a stage is right for you, how to you choose which one? With so many options out there, it can be hard to decide what would be best for your event. Keep reading to find out what can help you decide.

Whether your event is a showcase from the local dance troop, town band, DJ, or a large scale production with full rock bands, the stage becomes the centre of attention at the event, and getting the right one for the right price is crucial to the success of the event.

Here are some things to consider when looking for the right stage.

Space

Where are you holding the event? Is it indoors or outdoors? How much space do you have to accommodate a stage? A town centre event and a festival in a field will have very different space allocations and therefore different requirements from the stage.

Event size

How many people are you expecting? If it’s under a couple of hundred, your stage can be smaller and not affect the overall atmosphere of the event. If however, you are expecting thousands then you will need something larger so everyone can see the performances.

Acts

How many acts are you having? What type of performances are they giving (dance shows, acoustic solo acts, full blown orchestra)? Which act is your largest and how big is it? This will help you figure out the size of the stage you require.

Budget

This is key in making sure you have the resources to allow you to hire the stage size that is right for your event. Don’t forget that additional days will require more money too. Although most of our stages come with discounted rates for additional days, be sure to check this on booking.

Purpose

Is the stage the main entertainment at your event or is it just a piece in a bigger programme? It won't need to be a centrepiece if the music is just to create an atmosphere, but if it;s the main attraction, you will want something more eye catching.

Time

How much time do you have for set up and take down? Do you require it for multiple days? Some sites will need the stage to be put up on the day, this will change your requirements compared to a stage that can be put up prior to the event and be left throughout until being taken down after the event.

Most Common Mistakes Made During Event Planning

As a team we’ve worked on a huge array of events throughout the years and there are some common mistakes that we see repeated over and over again.

We thought we’d give you the upper hand by letting you know what they are so that you can avoid them when planning your next event. We’ve broken it down into general mistakes and then stage specific because that is our speciality after all.

Not having the right licence for the size of event:

When organising events, you need to check with your local authority which licences you need. PRS, PLL, PLI, TENS, Premises License, market licence to name but a few. If you don’t have these in place and authorised before the event you might find yourself limited on what you legally do at the event.

For example without a PRS and PLL, you won’t be able to play any music. Without a Premises Licence you may not be able to hold the event at all. Without a TENS you won’t be able to sell alcohol or hold regulated entertainment. Without a market licence you won’t be able to have stalls. Be sure to check with your local authority on what licences they require and ensure you complete each application with plenty of time.

Not having the right security personnel and fencing to comply with the licence:

Ensuring you are running a safe event is crucial. Be sure to check any requirements from your licences and for extra info on provision required for the size of your event the HSE website and the Purple Guide are a great resource.

Not getting power requirements from every trader (Some turn up just expecting to plug in):

Your event has just started, and your power goes down. One of your stall holders has just plugged in and tripped the whole system because it’s overloaded. To avoid this, make sure you collect all information from stall holders beforehand. How much power do they require, what are they plugging in, where are they situated on your floor plan. Can your system cope with all the requests. But be strict, if a trader has told you their requirement in advance and they turn up wanting more, then make it clear they can’t, by ensuring you have their agreed requirement in writing on the day. If you don’t know or understand power requirements you can hire a power management company, like us who can sort this all for you.

Not delegating some of the work to others and trying to plan the whole event yourself:

As event organisers it does seem like the easiest and cheapest option to do things ourselves, however, we don’t always have the time or technical know-how to take it all on. It’s worth the investment to hire in people who are professionals and experts in their field to free up time and responsibility. When event organisers take on too much without knowledge it can lead to mistakes and problems that affect the whole event.

Not budgeting for all the costs:

Events are costly so it’s important to budget everything, down to the last pack of stickers or tickets you may need. For bigger things, like the staging, it’s important to not cut corners. you may think you don't need lighting or a professional sound engineer but If you haven’t budgeted for the it, who is going to be doing that role on the day? Do they have the skills and know-how to manage it effectively? Don’t open yourself up for complaints because you haven’t budgeted for additional elements you will need.

On a more specific level, common mistakes made when it comes to the staging are:

Not having a big enough stage for the acts you have booked:

Imagine, everything is set up, the event has started and your first band has arrived but there are six of them and you hired a stage that was only suitable for a duo or trio max. It’s so important to discuss your requirements with your supplier before booking to make sure that what you want to hire is suitable for the acts you have lined up.

Not having the right sound system for the size of the event:

Not giving the stage crew the technical specification of the acts before the day:

When booking a musician, it’s important to ask them for the technical specification and the number of musicians in each act to ensure your supplier has all the equipment they need to put on a great show. From the number of microphones to speakers, to cables, every detail is important and can make all the difference.

What do you need to think about before hiring a PA system for your event?

Often when a client books a stage , they ask if we can add sound to the package . Our response is always “certainly, no problem”, but then we have to ask a few questions. Below are the first three questions we ask and why they are important.

What are you using the sound system for?

Different types of performances will require a specific set of needs and capabilities from the sound system. A presentation may only need a hand-held radio mic and some background music playback. For this, a couple of speakers on stands and a small mixer will suffice. It can even be operated by yourselves.

An 8-piece Rock & Roll band are going to need a large speaker system that can handle the full range sound of all the instruments. They will also need speakers on stage (foldback monitors) so they can hear themselves and each other. This more complex system will also require a sound engineer to mix the sound, on-stage and for the audience.

A DJ performance is going to require a sound system that can handle the extreme low frequencies that dance music is renowned for.

Although, there are similarities between the systems for each performance, we need to make sure we are supplying the right system for the job.

How many people are you expecting to attend your event?

Why does this matter at the planning stages of your event? Well, the more people you have in front of the stage, the more the sound is absorbed and the less distance it travels.

If we mount speakers on stands, or ground stack the big PA speakers on the floor, then more often than not the first four or five rows of people block the sound and the clarity of the sound is completely lost, so we need to consider a system that can be mounted on risers or a line-array configuration hung from the stage itself.

Knowing the size of the crowd in advance will ensure we plan the right sound system, so everyone one at the event gets the best experience.

Is the stage the main focus of your event?

There is nothing worse than planning a community fair where everyone wants to enjoy all the stalls and have a relaxing time, but the stage sound is overpowering the whole show. For these events, where the stage is there to compliment the event, you want the stage sound to be loud enough for the bands to be heard but controlled, so it can be enjoyed by the families sitting enjoying their picnics. We would offer a PA system scaled to suit this environment.

Equally, we don’t want to turn up with this type of PA system if the stage is the main focus of the festival and the crowd are expecting a chest thumping immersive experience.

Our sound engineers approach the mixing of these two types of events in completely different ways too. For a laid-back event they are aiming to get a balanced ambient sound, so will be using less microphones, and placing them further away from things like the drums and guitar amplifiers.

For a festival type sound, the engineer will want full control of each instrument and will be mixing individual drums, using anything between 16 – 30 microphones for one band.

A guide on where to find performers for your event

Sourcing the performers for your event can be quite tricky, and you want to make sure you are hitting the right vibe for the event, the right theme and crucially staying on budget. We've outlined the things you need to think about before you start your search and then where to look for the perfect performers.

What's the Purpose of the Stage Programme?

First things first, before you throw yourself into your online research for the perfect artist, you need to know what that "perfect" looks like for you and your event. It’s important to pinpoint the purpose of the stage programme, is it there as the main attraction of the event or is it for background music? Your answer here will dictate what type of acts you are looking for to fill your programme. If it's not the central attraction, then you will need more background/atmospheric music, but if it is the main attraction, you will want some hard hitting bands that will bring a trully magnificent performance, maybe even a named act, depending on how big your event is.

What Type of Event Is It?

This quesiton is quite broad but it can help you pin point what type of performers you need. Is your event themed, tributes, food festival, carnival? Is it more suitable for rock bands, or acoustic solo performers, dancing, drummers, magicians etc. This will really give your event an identity and will keep it in people's minds long after the event is over. Which is a great thing if you plan on running it yearly.

Budget

Finally set your budget. This could vary considerably depending on several factors but knowing how much you have to spend on performances is key before you start searching. Will the event be free to attend or will it be ticketed? How much are ticket prices, and what's the cost of your other event plans? Deciding how much (or how little) you want or can spend on your entertainment will be the final factor in who you choose to approach to perform.

Once these three things have been set you can start searching for your talent.

Where to look for Performers on a small budget?

If you are holding a free event and have a small budget, don’t despair. You will find a huge pool of talent locally if you know where to look. Amateur bands and performers, emerging artists etc are always up for gaining new audiences and expanding their fanbase. For community events, this is great because you are not only showcasing local performers and giving them a platform, but you are also giving your event another dimension.

Advertise on Facebook, have a look at who is performing at local music venues, in pubs and other events similar to yours in your area. This will give you somewhere to start and most musicians now have social media which makes it easy to contact them. These performers range from solo performers all the way up to large bands.

You can also contact local school and music departments, local orchestras or brass bands and associations if this fits in with the theme of your event. Local dance groups and schools or performing arts groups and associations may also be able to help with performers.

Where to look if you want big act?

If you are looking for something more professional, there are a number of paid for acts who advertise online or ask around if anyone knows a group that might be suitable for your event. You can also use talent agencies, they are great for finding professional musicians and bands, but expect to pay more.

There are so many options available to insure you make the most of your stage and your entertainment programme. With a little time and effort you could really change the whole feel of your event with a well thought out and tight stage programme.

Our Top Tips for Planning a Community Music Festival

Music festivals are a great way to bring communities together and make your town a great place to live. When the sun is out and the evenings are longer, it’s the perfect opportunity to bring some great music to local residents.

Here’s how to plan a music festival and make your town the place to be this summer.

Location

Pick a well located open space where you can accommodate a number of people and still manage the crowds. Make it central and think about parking.

Budget

Set yourself a budget , breaking it down into areas and decide if the event will be free of charge or ticketed. Where will the funding come from? Investors, sponsors, tickets?

Theme

It’s always good to have a theme, whether it be in the choice of music, promoting local musicians or a world food festival, this will set your event apart and will give you a key selling point when you come to market it.

Write a list of all the equipment you will need, from a stage, to sound, lighting, toilets, barriers etc. You can check out our stages and PA systems to give you an idea of what you might need and costings.

Entertainment

Catering

You will need to source local caterers to keep the crowds fed and watered. There are a number of independent food trucks and caterers who will attend your event, either for a fee or they will pay a pitch fee to be there if your attendance is high. And don’t forget the bar!

Facilities

If your event is likely to attract a lot of people, you will need to provide facilities, especially if your venue doesn’t already have them, such as security, toilets, power and waste facilities. Marketing

Once you’ve got a date and an idea, it’s time to start talking about it. You will need to let everyone know about your event, through posters, social media, press releases and a website. A Christmas Event Recap 2022

The recent Christmas events we've worked on

We've been busy little bees these last few weeks and have been fortunate enough to attend a number of Christmas events in Hertfordshire, Buckinghamshire and Bedfordshire. Providing staging, sound equipment and lighting but also emergency power management troubleshooting and fixing.

We kicked off our Christmas events with the Chesham Lights switch on , where we took our inflatable roof stage . There were choirs, both adult and children, entertaining the crowds before the switch on and we had the best time.

We also attended the Biggleswade light switch on with our trailer stage . This time there were dancers, bands, drummers and artists keeping the crowds entertained and that kept our sound engineer busy for the evening. The lights were incredible throughout the town and the locals sure did turn out for a great evening of festive fun.

Finally, we spent two days at the Hertford Castle Christmas Market event . We went along with our modular stage with covered canopy for the event where we had a number of performers, including Rock Choir , solo performers, bands and a Ukrainian Choir.

The event was busy through the weekend, where twenty five festive chalets adorned the lawn, with food stalls and funfair rides.

We even helped the organisers with an emergency power management issue when the power to some of their chalets went down. Thankfully we have trained electricians in our team who were able to solve the issue quickly and with little fuss.

The last thing you want after spending a large portion of your budget on staging, is to not use it to its full potential.

Here are some tips on how to make the most of your stage hire and ensure the crowd are fully entertained for the duration of your event.

Book the right stage for your event

This seems obvious but it’s always helpful to have some idea of what you plan on having as entertainment before you book the stage. This ensures that the provider can bring the right equipment for what you need.

If you’re focusing more on dance sets or speeches, the requirements will be different than if you are bringing a full rock band. If you plan on having one or two people on stage at one time, you’ll need a different set up than if you were having a choir. Plan your programme to fill the duration of the event

You’ve booked the stage, which suits your vision, now it’s time to finalise the programme. How many times have you been to an event with a huge stage that has been empty for more than half of the event duration?

Optimise your stage use by filling your programme. If you are unsure on act changeover times, speak to our experience sound engineers who can advise. You can also hire in backline if you’ve got a number of bands playing as this speeds up the set up time between acts.

Staging for Street Festivals

What stage hire do you need for a street festival?

Adding a main stage to your street festival can be a little more complicated than is sounds.

The limited space, road closure times and working around trees and street furniture are just some of the things you need to consider before taking on the challenge.

But all is not lost. We have stages of all shapes and sizes, from stage decks and platforms to trailer mounted stages, our team will find a solution for your needs.

We recently did just that for the UK Mexican Arts Society who put on their autumn Day of the Dead festival in the streets of Sommers Town, adjacent to the British Library in London.

They needed a stage large enough for a 7-piece band, with sound and lighting , but they only had their road closure two hours before the start of the event.

As with many of our projects, we visited the site soon after the client first made contact and were able to discuss their requirements in detail while measuring up the different areas in the street. We were then able to find a location that would fit our 6 metre wide trailer stage with inflatable canopy.

This is perfect for just this type of event, as we can drive the trailer right to the location, and within half an hour have the stage deck opened up and the canopy inflated.

The beauty of our trailer stages are they come with a basic lighting rig pre-installed, saving vital time on-site. This left our sound engineer plenty of time to install one of our line array PA systems and sound check before the event opened to the public.

We were also able to supply one of our super silent diesel generators to power the stage, sound and lighting during the day. Being a street festival, we do have to be mindful of residents, and although the performances on stage would be making enough noise, the drone of a noisy generator is something you shouldn’t have to put up with for a day.

It may be last minute, but there are plenty of places you can set up a small or large event within towns. Most places have a town centre that can host events and also public parks and open spaces. If you aren’t a council, reach out to your local one about hosting your event in their spaces. They’ll be keen to boost their Christmas event programme for the community.

Halloween Events 2022

What we've been up to over Halloween this year

Over the years, Halloween events in the UK have increased in quantity and in size. We’ve been lucky enough this year to work at two Halloween-themed events in Hertfordshire and London, providing stage hire, PA systems and sound engineering services to fantastic community events.

On Saturday we attended the Day of the Dead Festival in Sommers Town, Central London, organised by the UK Mexican Arts Society . We set up our medium trailer stage with the inflatable roof at the heart of the event and saw some great performers, both on it and during the parade. The crowd had a great time and it was a culture emersion into Mexican traditions for all.

Then on Sunday, we headed to Hemel Hempstead for the Old Town Halloween Party hosted by Dacorum Borough Council , that took place in the Old Town High Street. We set up our large trailer stage in the Town Hall car park and hosted performers and the fancy dress competition. It poured it down through set up but our professional team worked hard through it to get set up on time for the start of the event.

We’ve loved being part of these great events and seeing our stages fitting in perfectly and compliment these amazing festive programmes.

New investment for the business in 2022

After COVID we are bouncing back with a bang!

With an increase in bookings for this year, we have decided to invest in some new stage equipment for the 2022 season. This investment will included two new stage structures and additional sound and lighting equipment to add to and upgrade our existing stock.

We have secured the purchase on an 8m x 6m and a 6m x 4m truss arc stage roof structures and modular Ali-deck stage floors from Global Truss Germany . These stage structures will compliment our trailer stages and are perfect for multi-day events. We have been able to offer stages for more than one day in the past, but with the demand on our services we haven’t been able to offer the best rates. Now with the new ground supported structures in our fleet we are able to offer very competitive rates for Multi-day hire, especially those where we can rig and derig during the week, rather than the busy weekend.

Stage Roof Structures

Unlike our trailer stages, the new truss arc structures are built from the ground up at each location. Although this adds a little time to the build of the stage, it means that it’s lighter and cheaper to transport. So ultimately, we can reduce the cost to our customers. This cost can be further reduced by having us build the stage and then dismantle it during the week, when we are quieter.

At the time of writing, we already have 12 bookings for our new 8m x 6m stage for the summer season. The clients all need the stage built up before the weekend that their events are taking place. We are then returning on the Monday or Tuesday follow the events to take the stage away.

We are now able to offer package rates for booking a stage (either with or without production) for clients that have more than one weekend of events at a single location, or have a touring festival in multiple locations across the UK. What's We're Expecting in 2022

What can I say, the events industry looks like it's getting back on it's feet.

By the end of February we have booked in events for nearly every weekend through the summer. What a difference from the last two years.

We are desperate to get in the trucks and start getting our stages out to all our new customers.

We have already seen more than half our regular client return for this year, and many more have made enquiries, but we have seen our biggest bookings coming from new clients.

We are pleased to welcome Foodies Festivals to our client list for 2022. We have been given a contract to provide the staging for all eleven of there festival in the UK this summer. To show our commitment to this new customer, we have purchased a new stage unit which will attend the Foddies Festivals, from Exeter to Glasgow.

The purchase of the new 8m x 6m Arc stage unit compliments our smaller 6m x 4m Arc stage and fits in nicely with the rest of our fleet. These ground supported stage structures offer much more versatility than our trailer stages, and are better suited to multi-day events. They do have longer build times than the trailer units, but are much better suited to weekday builds, where the stage needs to be in place for several days. We are able to offer our clients a better deal on longer period hire with these units, as our crew are only required on build and strike days.

A Look Back Over 2021

COVID has been a killer for the events industry and like 2020, this year has been a struggle. At times, it felt like we were staging a piss-up at a brewery, but joking aside, we have been lucky to have had enough events to see us through the Corona crisis. We have seen the loss of some of our closest competitors, who haven't been able to whether the storm, so we are grateful to still be here.

Many of our regular clients couldn't make a commitment to put on event in either 2020 or 2021, and as such were not able to use our services for an event. We did manage to attend the London Chinatown Chinese Association 's Autumn Festival in London, and also some smaller events like the Hertford Remembrance Service on November 11th. It was interesting to see some local authorities refuse to entertain the idea of hosting events, yet others became our only clients this year and were desperate to show solidarity in the community.

We saw an upturn in events this year compared to the last, especially through July to October, but due to the higher levels of COVID at the beginning of winter, we lost most of the Christmas work we rely on to see us through our quieter season.

We're now hoping to see the back of any COVID restrictions by the end of the winter season and expect to start filling the diary with plenty of summer bookings. This can only be helped by the Queens Platinum Jubilee celebrations in June.

We're already getting enquiries from new and regular clients, so please don't leave it too long before getting in touch for 2022 events.

Wishing you a Happy New Year, from our Team to yours.

I should have know when our first event of 2020 looked like this, that we were not going to have a fun year.

Although we are in the worst stage of the COVID pandemic, our spirits are high for the 2021 season. We have managed to get this far and the company is in a good position to proceed for the next year. With the mass roll out of vaccines, and adapting events, we are hoping to have something closer to a normal summer.

Many of our clients for both the bouncy castles and the stage hire and production business have expressed interest in proceeding with events for the summer, and the bookings are starting to come in.

We have measure in place to ensure the safety of our team and the public for the events we attend, and managed to provide a safe service for the few clients we had this last year.

I would just like to wish you all a very Happy New Year and we hope to see you very soon.

Year Review - 2020

2020 - The year the events industry came to a stop.

At the beginning of 2020, our order books were full with summer events, but lock-down in March saw virtually everything cancelled.

As a company, we were in a fairly good position, with all our equipment being owned by the company, and very little in the way of finance and loans to repay, but like any company, we still have running costs and we were unsure of how long the industry would be in crisis.

It's been a tough year and like many we took on the jobs that were offered, whenever we could, but it wasn't until July, nearly six months since the start of the pandemic, that we saw work come in.

We were approached by one of our regular clients to provide a service for something new - a socially distanced event for up to 1000 people.

Being an outdoor event specialist, we were at an advantage because outdoor spaces reduced the risk of infection, as Pro Global Events mention in their blog post 5 Socially Distanced Event Ideas . The events industry was changing and we needed to be ahead of the curve when it came to what we could offer. Once we knew we could pull off a social distanced event, like we did at Colesdale Farm , it opened up a plethora of opportunities for us.

Vortex Events, a company local to us hosted a summer of open air cinema events called The Screen Space as a response to socially distanced event. You can read more about it on their blog The Screen Space 2020 .

Eventbrite have written a guide on Everything you Need to Know to Host Socially Distanced Events to help Event Managers develop plans for 2021 that are safe and user friendly.

The event we worked on had to follow all the goverment guidelines throughout the duration of the event, which was seven weeks and the unpredictability of it getting cancelled at a moments notice was something we had to work with throughout.

All those attending (including our team) had to comply with the government test and trace, but there were no reported outbreaks of COVID-19. So it goes to show that with a little thought, care, and attention it is possible to provide an event while complying with the requirements of social distancing.

If nothing else, it ensured that all the event industry suppliers for this event were able to earn just enough to live another day and be in a position to offer their services for the 2021 season.

Case Study - Socially Distanced Events

We weren't sure ourselves until July 2020 when we were approached by one of our regular clients to provide a service for a socially distanced event for up to 1000 people.

At first we thought it was wishful thinking, having 1000 people attend an event was surely against the rules, but further talks led us to understand the promoters had been in touch with the local council and they had found a solution that might could work.

At the time the rules were clear, no more than 6 people could socialise together outside, but if the venue was set up in such a way that each group of six were segregated from any other group by at least 3 metres then the council were happy.

The only downside was that there were also rules on the volume of the music. The council required the volume across the site to be at a level such that each group of six could communicate without the need to shout at each other. This meant rethinking the way outdoor concert sound is installed.

OUR SOLUTION

Normally for a venue of 100sqm we would install a large line array or ground stacked sound system either side of the stage with enough sub-bass to cover the whole venue. In some cases, we would add speakers on delay towers further down the venue to ensure the clarity of sound all the way to the back, but this is for the sound at high volumes, this system just wouldn't push sound more than 20 metres at the volume requested by the local council. But what if we had more delay towers?

Our solution to the problem was using the principle of delay towers and expanding on it. Generally, a delay tower would have several speakers attached to it, but if we scaled down the tower to a single pole with one speaker on it then the volume produced would be lower. Increasing the number of speakers on poles and spreading them out would offer the same coverage as a conventional delay tower, but at a lower volume.

The next issue was ensuring that the sound appeared to be coming from the direction of the stage. This was done by adding a small amount of delay (measured in milliseconds) to the audio signal going to the speakers (hence the term delay tower) . Adding more speakers makes the delay calculations a potential problem. Nobody notices a sound system set up correctly, but a badly delayed system will bring complains from everyone.

We opted for the easy fix and set up the delay speakers in arcs, meaning each speaker in the arc is exactly the same distance away from the stage and can be set to the same delay time. Then, we can add another arc of speakers further down the venue with a different amount of delay and so on.

We planned to do this with three different arcs of speakers each with 6 speakers on poles forming the arc. This coupled with the small line array hung from the stage, we would be able to provide a system that had control over the volume from front to back of the venue.

We went back to the client and offered our package, which included and 8m x 6m covered stage and a basic lighting rig. They agreed our terms and we signed contracts. The terms were quite clear, we were working on a week by week basis, and the authorities could shut us down at any time with further restrictions, but for a year that looked like it could spell the end for many, anything for us was better than nothing.

Equipment

Now all we had to do was put our plan into action and get the site rigged in less than two weeks. We needed at least eighteen speaker we could leave our in the elements for 8 weeks that could also handle the sound we wanted to produce. This was not something we currently had in stock, most of our stock was either too large or was not capable of producing the quality of sound required, but Martin had a trick up his sleeve.

Back in January of 2020, we provided two stage with production for the Chinese New Year Celebrations in London's WestEnd. For this event, we'd had some new speakers on demo from the British manufacture BishopSound . For those of you not familiar with Bishopsound, they are a small independent speaker manufacturer who design and build great sounding speakers at affordable rates. So impressed were we with the dual 8" line array system on demo we decided to not return it. We came to an agreement with them a few days later and bought the system. We had no idea at the time what the year had in store.

Having bought the line array and choosing to use it for this event as the main front of house system, it seemed silly not to ask BishopSound if they had any other speakers that would suit our needs to pack enough punch and also leave out in the wet. Andrew Bishop kindly replied to my email saying he had just the product I needed. The poly-carbonate 300w Gamma 10" speaker which was ready to pole mount and came with a foam lined metal grill that wicks the moisture away from the drivers (even in the heaviest rain). Andrew just happened to have eighteen of them left in stock and offered us a deal and we had them delivered the next day.

It was a gamble using speakers we hadn't heard of or road tested for a sound design none of us had ever tried out. All the design and specifications worked on paper, but could we get it to work in the field?

RIGGING

We had allowed three days to rig the stage, sound and lighting for the event, and test the rig. The stage and lighting was the easy bit for this event, as we used one of our 8m x 6m trailer stage with an LED parcan rig already installed, so this was ready in a couple of hours. The sound was the concern, as not only did we have to ensure it sounded good, but it had to be safe for the public.

We installed the main FOH line array hung directly from the stage, but the delay line speakers had to have a little more thought. The only sensible solution was to mount each of the eighteen delay speakers on a single pole driven into the ground with all cabling in shallow trenches on the ground. after making the appropriate inquiries and surveying the ground we install a 48mm steel tube about 1m into the ground for each speaker, with a smaller 35mm pole inside to couple the speaker onto. Each pole was finished of the bracing for safety wires to ensure the speakers could not fall.

The first arc of six speakers was set about 30m from the stage, with about 10m between each speaker. The second delay line was about 20m from the first and the final arc was another 20m from the second. We installed an amp rack in the middle of each arc in purpose-made wooden sheds. We then buried the 25mm CSA cables from the amp racks to the poles then taped and cable tied the cables up the poles to the speakers. We then trenched in a straight line front the stage down the middle of the venue to cable up all the amp racks.

This took the best part of two days to install in the rock solid ground that had been baked over the previous three weeks of hot summer weather, but we were finally ready to test the system, only to be told by the organiser's that their licence did not allow for any noise to be made before the opening day. Not what we wanted to hear, but we did run the system up at a low level to ensure our delays were in time and we had the coverage, we just weren't able to tune the system until the first day.

We had designed the system in such a way that we had control of the FOH and each delay line individually from the mixing desk. The hole system was running in mono, except for the stage monitors, as we wanted to keep the DJ's happy....

Each set of speakers was set to a group output on the mixing desk and for each days event we could vary the volume as require to each part of the venue. Not only did we have one of our team roaming the site monitoring sound levels, but we were also in contact with event control, as on some evenings the wind was carrying the sound further and even at the low levels was still enough to upset a few of the neighbours, but we were able to make adjustments and keep everyone happy.

To our relief, the whole speaker system from BishopSound worked superbly, and stood up to gale forced winds and rain for the full run of events, and now remains in stock ready for similar events in the future.

Our client approached us knowing our years of experience could produce a solution to the problem, but in these interesting times, we were asked to provide this service at a cost that reflected the reduced number of attendees.

The plan was to put on 8 weekends of festivals with different promoters producing the events each Saturday, Sunday and one bank holiday. Our client would provide the venue and the bar, the promoter would provide the entertainment and sell their tickets. As part of the venue, our client needed a stage and production for the acts to perform.

Knowing this was likely to be the only event we would be involved in for the year we had to make sure we covered the companies costs, not only for this event, but the running costs to the end of the year. The budget was tight and negotiations started, but we were confident we could offer a package that would meet the criteria of the authorities as well as the needs of our client.
